Job Summary

The Temporary Insurance Compliance Coordinator is responsible for supporting the organization’s risk management and vendor compliance efforts by tracking, collecting, and maintaining Certificates of Insurance (COIs) for vendors, suppliers, and subcontractors. This role ensures that COIs have been collected for all third-party service providers as well as accurate contact information.
The position requires strong organizational skills, attention to detail, and the ability to communicate professionally with internal stakeholders and external vendors.

Job Description

Key Responsibilities

Vendor/Supplier/Subcontractor COI Tracking

  • Request, collect, and maintain current Certificates of Insurance from vendors, suppliers, and subcontractors.
  • Maintain accurate records of vendor insurance documentation in tracking systems or databases.

Communication

  • Contact vendors/suppliers/subcontractors via email and phone to request required insurance documentation.
  • Update vendors/suppliers/subcontractor contact information in database.

Internal Coordination

  • Work closely with Risk Management, Legal, and Procurement teams to confirm insurance requirements for contracts.
  • Respond to internal inquiries regarding vendor insurance compliance status.
  • Assist with reporting on vendor insurance compliance metrics.

Documentation & Reporting

  • Update tracking spreadsheets, compliance systems, or vendor management platforms.
  • Prepare status reports on outstanding and completed COI requests.

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Prior experience in administrative support, vendor management, insurance, procurement, or compliance preferred.
  • Experience working with Certificates of Insurance or insurance terminology is a plus but not required.

Skills & Competencies

  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple follow-ups and deadlines.
  • Proficiency in Microsoft Office (Excel, Outlook, Word).
  • Ability to work independently and maintain accurate records.

Preferred Knowledge (Not Required)

  • Basic understanding of insurance types such as:
    • General Liability
    • Workers’ Compensation
    • Auto Liability
    • Professional Liability
  • Familiarity with vendor management or compliance tracking systems.

Work Environment

  • Primarily office administrative work.
  • Minimal physical demands.

Key Performance Expectations

Success in this role will be measured by:

  • Timely collection of vendor COIs
  • Accuracy of compliance tracking records
  • Reduction of expired or missing vendor insurance documentation
  • Responsiveness to internal and external communications

Position Duration

This is a temporary position intended to support short-term vendor insurance compliance initiatives.
