Manages Event Planning operations and day-to-day activities. Creates customized receptions, and assists with developing and executing memorial and special events that support the company’s goals of celebrating the unique character of a person’s life and developing enduring relationships with families.
JOB RESPONSIBILITIES
Program Management
- Identify catering partners; develop menu offerings and customization processes; work with corporate office to establish necessary documents for partnership; set up billing process, etc. Identifies vendors and obtains multiple competitive bids for services. (e.g. caterers, equipment rental companies, equipment sales companies).
- Develops standard operating procedures to ensure efficiency and effectiveness of areas of responsibility
- Develops and conducts training for service directors in handling catered and other hosted events.
Event Planning
- Plans Market or Sales on-site or off-site Community Events as well as Associate Meetings. Collaborates with Leadership to understand event goals and budget. Contributes ideas for themes, venues, catering, promotional items, pricing, rental items, and similar. Recommends event enhancements. and executes assigned responsibilities
- Contacts third-party event providers to schedule event, discuss event, review arrangements, and order equipment including but not limited to canopies, tables, chairs, stages, electronic equipment, or portable toilets.
- Ensures events are on time, smoothly executed, and within budget. Quietly and effectively resolves event issues. Oversees and manages set-up Manage preparation and cleanup of event & equipment.
- May plan Family Service, Visitation, or Reception events
- Other duties as assigned
Administration
- Coordinate staff work and time-off schedules ensuring appropriate coverage and minimizing overtime.
- Identifies and implements innovative solutions for practice or workflow changes to improve department operations or other department-specific measures by leading unit projects and/or other department/system directed activities. Supports change initiatives, maintaining effectiveness when experiencing major changes in work responsibilities or environment; adjusts effectively to work within new work structures, processes, requirements or cultures
- Gathers data for annual expense and personnel budgets, reviews expense statements and takes necessary actions to control and reduce costs. Ensures adequate supplies are available. Implements department strategies to achieve financial target and staffing needs, developing others to do the same, through optimizing productivity, supply/resource efficiency, minimizing incidental overtime and overtime percentage, and other areas according to department specifications. Identifies capital needs and plans accordingly.
People Development
- Develop a strong, trusting, and reliable team. Understand team members career aspirations and provide assignments to develop skills and/or close gaps. Constructively address issues and provide tangible and appropriate feedback. Apply a proactive and collaborative management style in order to increase employee engagement and minimize turnover. Monitor training and licensing requirements ensuring staff is re-trained/licensed prior to expiration.
- Responsible for screening candidates (internal and external) and hiring or promoting a skilled and effective staff. Establishes pay, recommends pay increases, special pays, and career advancements.
- Discipline staff as necessary. Writes development plans to close behavior or skill gaps. Collaborates with Human Resources throughout discipline, development, and termination processes. Recommends and discusses terminations with Leadership.
Background
Education & Licenses:
- High School diploma required; Bachelor’s degree in Hospitality or Management preferred
Experience & Knowledge:
- At least five (5) years’ Event Planning and vendor management experience
Skills & Abilities (not listed within Competencies):
- Computer literate and proficient with MS Office, Word, Excel, and Power Point
