Duties and Responsibilities:

Club Finance Team Tasks

  • Creditor invoices - Receive, check, accurately code and process in the accounting system to correct GLs on a weekly basis

  • Create all creditor payments on a timely basis including funds transfers and manual cheques

  • Ensure all creditor payments are processed through the accounting software

  • Answer creditor enquiries promptly and in an effective and polite manner

  • Reconcile creditor statements on a monthly basis

  • Assist with end of month accruals and balance sheet reconciliations

Billings Team Tasks

  • Collection of overdue invoices in accordance with company policies and procedures.

  • Maintaining and reconciling the accounts receivable system and journals (invoices and payments) to ensure it balances correctly when required.

  • Answer phones and respond to emails from Club Members and other team members in timely and professional manner

  • Maintain/update accurate information in Member accounts.

  • Accounting / auditing of payments for Club Fees, reservations and other charges via bank statements and reports when required.

  • Perform month end procedures to make sure all accounts are balanced.

General Tasks

  • Complete other tasks that may be assigned by Management from time to time.

  • General office duties e.g. faxing, filing, maintenance of policies & procedures etc.

  • Represent Accor Vacation Club in a professional, courteous and sincere fashion in order to foster good working relationships with all our suppliers, customers, both internal and external in line with company values

  • Liaise with other departments regarding allocated tasks

Job Qualifications:

  • Diploma or tertiary qualification in bookkeeping or accounting or experience in accounts receivable processing as well as other clerical and administrative tasks

  • Self-motivation and the ability to work as part of a cohesive team, and be flexible with work hours.

  • Demonstrated knowledge and experience in accounts payable and accounts receivable functions as well as other clerical and administrative tasks.

  • Detailed knowledge and experience in maintaining comprehensive and accurate filing systems.

  • High level of numerical skill, coupled with a high degree of accuracy and attention to detail

  • Accurate data entry / keyboard skills

  • Well-developed interpersonal skills including the ability to deal effectively with all suppliers / customers by phone, email and in person (essential)

  • Proven understanding of accounts payable and accounts receivable functions (essential)

  • Ability to exercise judgment and work autonomously with minimal supervision (essential)

  • Well-developed organizational skills with an ability to prioritize workload, meet deadlines and demonstrate flexibility in dealing with people with competing demands (essential)

  • Ability to cope with change and willingness to learn new systems and procedures (highly desirable)

  • Ability to maintain confidentiality of information (essential)

  • Team member with strong work ethic, flexible in approach and supportive of others (essential)

  • An ability to work under pressure and produce work with a high level of accuracy. (essential)

  • A commitment to the provision of excellent service to all customers (essential)

  • Demonstrated advanced computing skills including the use of Microsoft Office products, particularly the use of spreadsheets as well as email, internet and other financial applications
