Responsibilities:
- Lead end-to-end delivery of medium to large IT projects (scope, schedule, cost, quality).
- Establish project governance: stakeholder mapping, communication cadence, steering committee preparation, decision logging, and escalation management.
- Accountable for project execution, change control (scope/timeline/resources/budget), and regular reporting aligned with PMO standards.
- PPM/portfolio updates: keep project data, milestones, and resource plans up to date and create the monthly status report in line with the defined update cycle.
- Support different PMO activities as needed.
- Support change management activities (communications, trainings, readiness) together with business stakeholders and process owners.
- Coordinate vendor and delivery partner activities where applicable.
- Drive continuous PMO improvement by capturing lessons learned and improving templates, planning quality, and reporting practices.
- Ensure proper project closure (final reporting, document archiving, resource release) and support transition to operations.
Qualifications:
- Bachelor’s degree in Business Administration, Computer Science, Engineering, or a comparable field.
- Minimum 5 years of experience in IT project management, leading medium to large, cross-functional projects (e.g., application rollouts, process standardization, integrations).
- Experience with PMO governance and portfolio reporting, including maintaining project status, milestones, and resource planning in a PPM tool.
- Project management certification (e.g., PMP, PRINCE2, IPMA) is a plus.
- Strong knowledge of project management methods and practices (scope, schedule, cost, risk, change, quality, and stakeholder management).
- Hands-on experience with PPM / portfolio tools for status and resource reporting (preferably Meisterplan) and ability to maintain lifecycle, milestones, dependencies, and resource allocations at least monthly.
- Proficiency with common PMO collaboration and documentation tools (Microsoft Teams, SharePoint, Planner) and structured document management.
- Experience creating and maintaining key PM deliverables (e.g., status reports, decision log, change requests, milestone plan, communication plan).
- Working knowledge of IT delivery environments (applications, integrations, testing, cutover/hypercare) and vendor management.
- Excellent communication skills (verbal and written) and the ability to communicate effectively with stakeholders across IT and business.
- Strong stakeholder management, facilitation, and conflict resolution skills; comfortable leading steering meetings and decision-making forums.
- Structured, governance-oriented mindset with high attention to quality, transparency, and timely reporting (PMO standards).
- Strong analytical and problem-solving skills; ability to manage risks, issues, dependencies, and changes proactively.
- Ability to work in a global, cross-functional environment; fluent in English (German is a plus).
