About the Role

We are hiring a temporary associate to join our team to support office and mailroom operations in our Louisville, KY office. Duration is approximately 2-3 months in length.

The Temporary Office Services Specialist supports daily mailroom operations, serving as backup for regular staff during absences and PTO. The position involves mail processing, data entry, and package handling, as well as assisting with various administrative tasks as needed. Flexibility, attention to detail, and the ability to adapt to changing priorities are essential.

The Impact You'll Make

  • Sort and process incoming and outgoing mail for clients, including selling postage and addressing special mailing requests.
  • Handle the end of day mail pickups.
  • Ensure overnight mail is sorted and sent to the appropriate branches.
  • Process and sort returned mail, determine why packages we were returned and route to the appropriate person.
  • Record and post daily numbers in Excel spreadsheets.
  • Serve as backup for regular staff during their PTO, covering all mailroom floors and specific duties as assigned.
  • Process UPS shipments using WorldShip software, 
  • Stock coffee and paper supplies and miscellaneous items in the cafés.
  • Address unexpected issues and miscellaneous tasks as they arise throughout the day.
  • Communicate with team members and supervisors to ensure smooth workflow.

What You'll Bring to Baird

  • Ability to work independently and collaboratively.
  • Proficiency with Excel and basic computer programs.
  • Willingness to learn mailroom processes and shipping software (WorldShip experience is a plus).
  • Strong organizational skills and attention to detail.
  • Flexibility in handling various tasks and changing schedules.
  • Positive attitude and reliability.
