Position Overview

Reporting to the Senior Vice President and Executive Director, the Managing Director of People and Operations leads the site’s People strategy, including all elements of staff experience, Diversity, Equity, and Inclusion, as well as all site operations and finances. The MD of P&O serves on the Executive Leadership Team, manages a diverse portfolio of internal vendor relationships and departments, partners with Headquarters in consultation and collaboration with the Sr. Vice President/Executive Director, and leads on special initiatives including but not limited to staff and organizational culture and strategic planning.

Job Description

Key Responsibilities:

Budget and Finance

  • In partnership with the Executive Director, monitor and provide monthly reporting on expenses and forecasts
  • Monitor departmental expenses and recommend strategies to ensure that City Year San Antonio meets quarterly expense goals
  • Manage purchasing and invoice processes, including expense reports, purchasing cards, petty cash, and travel budgets (when applicable)
  • Lead annual budget design process for the site
  • Serve as the liaison to the Site Board Governance and Nominating Committee

People Strategy

  • Working with the Executive Director, lead a data-driven strategy to foster a positive staff culture, including professional development and staff engagement initiatives
  • Partner with hiring managers to develop and coordinate lead talent sourcing, recruitment and hiring strategy for all open positions
  • At a high level, coordinate new staff onboarding to ensure all new staff have the necessary materials, information, and support to start strong
  • Develop and co-lead Executive Leadership and whole team retreats and meetings with the Executive Director
  • Serve as liaison with City Year headquarters as part of the People Points community, helping to weigh in on, develop and communicate organization-wide policies and practices. 
  • Support staff and AmeriCorps members with understanding and navigating City Year benefits and HR policies and resources; serve as a point person for HR-related policies and questions as needed. 

Site Operations

  • Lead efficient and positive operational impact of City Year San Antonio site
  • Oversee responsibilities of maintaining relationships with building management and vendors to proactively address issues in a timely manner
  • Maintain and update site intranet and communications, including SharePoint and Microsoft Teams environment, as well as support user experience in other systems, including Workday, and the Microsoft Suite
  • Manage office camp-firing policies (community upkeep and maintenance) and communal office space to ensure consistent organization and cleanliness
  • Ensure successful implementation of Corps Experience elements, including uniform management, bus passes, pantry, relocation payments, and temporary housing efforts
  • Target and assess IT issues and needs at the site level and track site assets

Sitewide Support Initiatives

  • Support ED in organizing and communicating with the Board of Directors, including board meetings and retreats.
  • Works in collaboration with all site departments to ensure effective, smooth support site-wide collaboration of site wide events (Opening Day, Graduation, etc.)
  • Leads collective site efforts and accountability measures for site-wide initiatives such as Diversity, Belonging, Inclusion, and Equity work and Site Advancement Planning
  • Develop and execute health and safety plans in the workplace according to legal guidelines

Qualifications

  • College degree or equivalent work experience required
  • 3-5 years of experience successfully leading cross-functional teams, managing Human Resources/people work, and operations
  • Demonstrated ability to lead directors and managers in the creation and implementation of multi-faceted operating plans and budgets
  • Organization and project management skills; able to manage multiple tasks, priorities, and stakeholders effectively in a changing and ambiguous environment; ability to generate results and complete projects within deadlines.
  • Excellent analytical, verbal and written communication skills, along with a high level of diplomacy, discretion and problem-solving ability
  • Proven success in developing collaborative relationships, coaching, and group facilitation exercises
  • Expertise in Microsoft Suite is a plus
  • Strong passion for and commitment to City Year’s mission of delivering high-impact service to children and schools; developing young adults participating in national service; promoting and advancing the concept of voluntary national service; belief in youth as agents of social change
  • City Year / AmeriCorps experience is a plus
