Primary Responsibilities:

Finance Management:

  • Manage finance, maintain monthly payment & actual cost tracker for TPE11 & 14
  • Manage Coupa & JDE supplier, act as POC for suppliers on payment issues
  • Handle non-PO payment requests as per client policy and JLL process
  • Track and supervise goods/services process and quality for ad-hoc POs
  • Support budget planning and cost control
  • Provide input for Monthly Reports and monitor Key Performance Indicators

Inventory and Asset Management:

  • Manage office supplies, pantry supplies, cleaning consumables and inventory check
  • Make and update "Asset Inventory List"
  • Arrange supplier to repair damaged furniture
  • Check asset inventory and print & paste asset inventory labels

Space Management:

  • Support MAC (Move, Add & Change) of workspace
  • Space and Headcount Data Collection and space assignment
  • Maintain Space Utilization Database and Report

Facilities Operations:

  • Assist in implementing a comprehensive energy management program
  • Monitor janitorial activities to ensure site cleanliness
  • Implement and comply with internal management systems for quality assurance
  • Seek ways to reduce costs and improve operational standards
  • Support daily office operations (soft services)

Administrative Support:

  • Support business cards printing
  • Handle user requests and service tickets (SIM-T, RIVER, Corrigo)
  • Support Training Room booking & event support
  • Assist with new hire onboarding
  • Support and coordinate with IT/EHS/HR/ACS/PR/Legal for related affairs
  • Support office events (e.g., seasonal office deco, CNY Worship Ceremony)
  • Backup reception counter when needed

Risk Management:

  • Assist in implementing and managing property risk management program
  • Follow established escalation procedures and incident reporting procedures

Qualifications:

  • University degree
  • 2 years facilities management or vendor management experience
  • Strong interpersonal skills with a client focus
  • Technical comprehension of performance-based service contracts
  • Ability to work within a budget
  • Demonstrated initiative and independence
  • Good communication skills in written and verbal English
  • Self-motivated
