Position Summary:

The Maritime Permitting and Logistics Officer supports our dynamic global team by playing a pivotal role in the planning, development and execution of OceanX’s missions worldwide. The role acts as a key liaison between the Director of Missions, management team and internal and external organizations including but not limited to our Science, Media, Partnerships and Education teams. The position will report to the Director of Missions.

The Maritime Permitting and Logistics Officer is responsible for all mission logistics, permitting, visas, research, reporting, and equipment clearances for the organization. The role will additionally aid in the development and drafting of the vessel schedule, working closely with the Director of Missions and Head of Marine Operations to optimize vessel utilization.

The position requires a highly organized approach to the management and communication of several simultaneous projects and relationships.  The Maritime Permitting and Logistics Officer will liaise with agencies, suppliers, partners and government officials and as such, a high degree of professionalism and tactfulness is essential. Experience in vessel operations and an understanding of oceanographic research or oceanographic equipment would also be advantageous, as well as an established network in Southeast Asia.


Position Location:

​This position will be based in Singapore.

Duties and Responsibilities:

  • Ensure that missions are planned and executed in an excellent way
  • Support all aspects of the vessel mission process from planning through to execution
  • Ownership of permitting and visa processes, including liaising with relevant agents and governing bodies to secure vessel, science, media and other permits as required
  • Planning and communication of logistics (travel requirements, equipment shipment, etc.) across the organization
  • Manage key processes for permits, visas, onboarding, equipment, waivers, logistics, reporting and infrastructure
  • Update internal systems, records, project dashboards, reports and files throughout mission lifecycle – creating folders, granting access, publishing notes, tracking action items, scheduling follow ups, and updating project plans
  • Maintain vessel schedule based on Director of Missions feedback, liaising with Marine Ops and Vessel teams
  • Publish and communicate weekly reporting and meeting notes including key decisions, approvals, status updates, budgets, key risks, and escalations when necessary
  • Draft mission approvals, working with legal, compliance, tax, FP&A and others as needed
  • Research country requirements to advance planning, and mission pipeline
  • Analyze post cruise assessments, and track issues to drive process improvements and insights

Qualifications:

  • Professional Experience: 
    • 7-10 years relevant problem solving, project management or strategic planning experience
    • Exceptional project management capabilities and experience working on large scale projects in a dynamic environment
    • Proficiency with Jira, Smartsheet, Notion, Monday.com, Slack, Marine Facilities Planner and similar platforms a plus
    • Field experience in marine science, media filming and/or oceanographic expeditions highly desirable
    • Strong communication and networking skills, a well-established network in Southeast Asia is a plus
