Role overview:
We are on a mission to define, develop, and deliver incredible custom event programs that delight our audiences and enable our Dow Jones brands and those of our clients to be smarter. We are storytelling experts–Dow Jones’ most unique competency. We develop original and creative ideas to help meet the clients’ ambitions and we execute successful activations–from a thought leadership moment at a news event to a standalone, bespoke program showcasing the client’s expertise.
The custom program coordinator will work closely with the Custom Events From WSJ team to support production, logistics and speaker relations for in-person, virtual and hybrid events. The successful candidate will help wrangle production elements, manage calendar invites and website updates and act as the speaker and client liaison pre-event and during events. The custom program coordinator will also manage and update the custom program team’s assets. The successful candidate is a tenacious, creative problem solver who is meticulous, organized and quick to adapt to changing needs.
Key Responsibilities:
Work together with the rest of the custom program team to make sure the associated assets for custom programs are accurate, consistent and captured across materials and on the website.
Coordinate calendar invites and schedule meetings for upcoming program-related calls, including pre-interviews and tech checks.
Collect and edit photos and bios for speakers and executive participants.
Assist in speaker research.
Help manage all speaker and client relations for the events before the event, onsite during the event and post-event.
Work closely with, and help keep all internal stakeholders (sales, marketing, production) updated on all information that is relevant about custom programs in a timely manner.
Qualification/Requirements:
The ideal candidate will have more than one year of conference or event programming, live event or television production experience.
Must have a demonstrated ability to respond to deadlines with urgency and accuracy and effectively manage details involving simultaneous events.
Must demonstrate a high level of professionalism and confidence in working with key stakeholders, clients and speakers, including as an in-person liaison for live events.
Must possess initiative, self-motivation and the flexibility that is required in working on live events.
Must have the ability to take ownership of problems and coordinate appropriate internal resources to help solve them effectively and efficiently.
Must possess a Bachelor’s degree.
Must have excellent communication (verbal and written) and presentation skills.
The successful candidate must be well-versed in Google Workspace, Adobe Creative Suite, Microsoft Office, Workday, Zoom, Asana, Trello, Slack and other administrative workflow tools.
