This position will be an intricate part of the Facilities team’s day to day function and have a direct impact on our employee’s daily work environment. This position also provides support to all events and special ceremonies held on the NEFL campus, as needed. This support includes but is not limited to vendor coordination and direction, as well as set-up & tear down of equipment & furniture.

QUALIFICATIONS

  • Bachelors degree in hospitality or business preferred, Associates Degree preferred or equivalent experience

  • Three years of experience in customer service, design, corporate facilities or hospitality environment

  • 2 years supervisory experience with direct staff or vendor management

  • Excellent customer service and follow up skills

  • Strong attention to details

  • Proficiency with Microsoft Office (Word, Excel, PowerPoint)

  • Strong administrative abilities including ability to manage multiple priorities at once, meeting deadlines, producing quality deliverables and quick decision making

  • Project management skills to with focus on deadlines and deliverables

  • Financial acumen for project pricing and budget development

  • Strong communication skills, both verbal and written, with excellent spelling and grammar

  • ·Able to work independently and complete necessary tasks without consistent supervision

  • Valid driver’s license with a good driving record

  • Able to safely operate a utility vehicle such as, but not limited to, golf carts, utility carts, and shuttle carts

RESPONSIBILITIES/DUTIES

  •  Be conscientious about the sociology of the workspace, including trends in collaborative space, mobility and evolving environments

  • Assist with building walk throughs ensuring office interior brand standard compliance and overall building upkeep 

  • Assist with vendor oversight as assigned

  • Provide back-up support to corporate stationery orders and procurement

  • Assist with the research, creation, and editing of department policies, manuals, standard operating procedures and other administrative related projects as assigned 

  • Assist with company provided amenity programs

  • Create and update department presentations and associated collateral

  • Manage multiple projects while keeping on top of strict timelines

  • Monitor and procure office and building related supplies as needed

  • Process and reconcile vendor invoices and expense reports through Concur

  • Assists Manager, Corporate Services with special projects or other duties as assigned

  • Assists Manager, Meeting Coordination & Corporate Services with meeting setup and breakdown, supplies, signage, swag and gifting, catering & A/V as requested

  • Provide support for onsite employee and partner events on the NEFL campus 

  • Special projects or other duties as assigned
