JOB SUMMARY 

Tax Operations Services Associate’s serve as compliance gatekeeper’s and operational coordinators for the firm’s tax engagements, with a primary focus on validating 7216 consents and managing offshore tax tool access. This role ensures that all Consent Letters and Statements of Work (SOWs) contain the correct consent language and client approval, in accordance with IRC §7216 and AICPA standards. The associate reviews contracts for proper signatures, verifies that all required consent components are present, and updates client consent status in the firm’s Master Data Management (MDM) system. The position also supports the onboarding and readiness of offshore resources, monitors operational performance, and drives continuous improvement initiatives. The associate collaborates with engagement teams, facilitates Foreign Independence checks, manages documentation, and resolves issues related to USI access and offshore tool permissions.  

 

ESSENTIAL DUTIES 

  • 7216 Consent & Contract Compliance  

  • Review Consent Letters and SOWs for required consent language, client signature, and date. 

  • Ensure compliance with IRC §7216 and AICPA Code Section 1.700. 

  • Validate that contracts are signed via approved methods (handwritten or DocuSign). 

  • Confirm presence of all required components: client name, client ID, tax year, disclosure and use paragraphs, and schedule of entities/taxpayers. 

  • Identify and address discrepancies, escalate NIGO (Not In Good Order) contracts, and communicate with engagement teams for corrections. 

  • Send IGO/NIGO status notifications using firm templates and document actions in process logs. 

  • Apply and interpret dashboard rules (e.g., Rule 1, Rule 12, Rule 18, Rule 98, Rule 99) for consent validation and troubleshooting. 

  • Tax Tool Access Management  

  • Facilitate and validate offshore access requests for tax tools (e.g., CCH, Workstream, SurePrep/TaxCaddy). 

  • Confirm client consent is on file before granting access to offshore resources. 

  • Coordinate with engagement teams and resource management to ensure compliance for cross-border and offshore engagements. 

  • Update access permissions in MDM and document actions for audit purposes. 

  • Address exceptions (e.g., Canadian clients, government contractors, high-volume SALT) per firm policy. 

  • Operational Improvement 

  • Monitor operational performance and identify outliers or process gaps. 

  • Develop and drive readiness plans for busy seasons, including onboarding, training, and resource allocation. 

  • Lead efforts to implement process improvements based on feedback and observation. 

  • Collaborate with other Tax teams to support special projects and operational initiatives. 

  • Compliance, Risk, & Audit Support 

  • Manage workflow assignments and dashboard record statuses (Intake, In Process, Needs Review). 

  • Escalate issues and coordinate with IT/service desk for dashboard errors. 

  • Maintain accurate records of consent validation, access management, and operational activities. 

  • Communicate with engagement teams, relationship leads, and offshore resources regarding consent status and access permissions. 

  • Ensure all documentation meets firm standards and is stored appropriately. 

  • Support Foreign Independence checks and related documentation. 

  • Address and resolve compliance exceptions, escalate risks as needed, and participate in audit and review processes. 

EDUCATION / CERTIFICATION REQUIREMENTS 

  • Associate’s or Bachelor’s degree (Accounting, Business, or related field), or equivalent combination of relevant education and experience 

 

JOB REQUIREMENTS 

  • 2–4 years of project coordination, business process, or administrative experience (required). 

  • Effective communication skills, with the ability to create effective documents and review them with key project stakeholders at multiple levels of the organization (required). 

  • Experience supporting multiple initiatives concurrently (required). 

  • Proficiency in Microsoft 365 (e.g., SharePoint, Excel, Teams) and generative AI tools (e.g., ChatGPT, Copilot) (required). 

  • Effective organizational and time management skills (required). 

  • Ability to perform responsibilities in a primarily remote work environment (required). 

  • High attention to detail and accuracy in documentation and data entry (required). 

  • Ability to adapt quickly to changing priorities, processes, and technologies (required). 

  • Demonstrated problem-solving skills and proactive approach to resolving issues (required). 

  • Previous experience working in a large organization, professional services firm, or CPA firm (preferred). 

  • Tax compliance or advisory experience with knowledge of accounting or tax fundamentals (preferred). 

  • Experience with tax compliance systems or financial systems and technology (preferred). 

  • Exposure to business intelligence tools and working knowledge of analytics and data management (preferred). 

  • Experience collaborating with cross-functional teams and external stakeholders (preferred). 

  • Commitment to confidentiality, compliance, and ethical standards (required).
