Your Impact: 

As the Executive Assistant, you will support the CMO & team in their pursuit to meet the company’s objectives and initiatives. You will work under minimal supervision to provide advanced administrative support, interacting closely with senior leadership. Your role will prioritize and manage their time, anticipate their short- and long-term needs, coordinate events, set up and help to execute key internal and external meetings, and be a conduit for information across the organization. 

  • Manage complex and detailed executive calendar to align schedules and proactively resolve scheduling conflicts at the C-Suite and leadership levels. 
  • Interact with internal and external stakeholders to schedule and execute meetings. 
  • Handle time-sensitive critical priorities with minimal direction. 
  • Drive projects that include a high degree of confidentiality working with senior executives and key stakeholders. 
  • Demonstrate a high degree of initiative and ability to take independent action while always exercising sound judgment and discretion with tasks and projects. 
  • Anticipate and initiate actions regarding team operations which require knowledge of the organization and other departments. 
  • Function as a high-level individual contributor or coordinator of multiple projects. 
  • Ability to partner with cross-functional teams to successfully deliver the desired outcome; Able to communicate with all levels of the organization, including executive officers, customers, and external partners. 
  • Partner with the CMO & Staff to drive, plan and support events and meetings, off-sites, and team gatherings. 
  • Prepare, process, and track to completion expense reports and purchase requisitions. 
  • Travel coordination and arrangements. 

Your toolkit: 

  • Minimum of 8+ years working at the Executive administrative level.   
  • Expert level knowledge of Windows and Mac desktop computer applications, Microsoft Office and MS 365 Suite, and Zoom. 
  • Technical aptitude to quickly learn new programs and tools. 
  • Strong organization, project management, and problem-solving skills. 
  • Possess strong interpersonal skills and a strong customer service perspective (internal, and external), and can handle issues with respect, dignity, sensitivity, and urgency. 
  • Proven time management skills can work in a fast-paced environment with limited supervision. 
  • A highly proactive and ownership mindset that anticipates needs and manages up and downstream to ensure deliverables are met timely and accurately. 
  • Ability to identify business issues and coordinate an appropriate response with key stakeholders. 

Compensation:

$142,000 USD - $170,000 USD

The pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include responsibilities of the job, education, location, experience, knowledge, skills, abilities, and internal equity, alignment with market data, or applicable laws.
