Position Summary

The Student Records Coordinator is a member of the student records and degree progress team in the Office of the University Registrar (OUR). The position is primarily responsible for responding to requests and inquiries from current and former students, campus partners and third parties regarding verifications and student records inquiries and processing student records and program changes in the student system of record, Workday Student. The position collaborates with OUR team members, the student system support team and relevant vendors, and campus partners. This position reports to the Assistant University Registrar.

Job Description

Primary Duties & Responsibilities

Program Status and Student Records Updates

  • Evaluate and process student status change requests submitted via the student system of record, Workday Student, according to appropriate process and timelines to ensure prompt service and compliant records maintenance.
  • Process student records updates, such as demographic change requests, submitted via the student system of record, Workday Student, according to documented standards.
  • Address FERPA inquiries and record requests, particularly consent to release and request to review questions and forms; evaluate and engage with requesters and third parties to fulfill requests per University policy and federal law.

Enrollment and Degree Verifications

  • Fulfill National Student Clearinghouse and student verification requests, including coordinating with school and campus partners as appropriate and updating NSC or student system records if corrections are necessary.

OUR Student Records Team Engagement

  • Support official transcript processing as needed.
  • Participate fully in operational process and communication practices to ensure shared work within OUR teams is effectively executed across all functions according to the production calendar.
  • Support historical records maintenance, knowledge and investigation as needed for periodic inquiries and institutional projects.

Engage with Workday Student maintenance and support

  • Coordinate with OUR colleagues, Workday Support Team and WashU IT in maintaining system performance and integrations, i.e. testing and engaging with upgrades and ongoing maintenance.
  • Address support requests from campus partners and students and escalate as necessary in alignment with Workday support delivery model.

Maintain Office Standards and Expectations

  • Coordinate special projects and perform other duties as assigned; engage in professional development activities and study to improve professional skills and stay current on regulations and best practices; attend and present at meetings and events to represent Washington University in St. Louis.

Preferred Qualifications

  • Bachelor's degree and three years experience in higher education.
  • Excellent interpersonal and communications skills and customer service experience.
  • Strong attention to detail and process.
  • Ability to work independently and collaboratively.
  • Strong technical skills and capacity to learn new technology.
  • Self-motivated with a high degree of reliability.

Required Qualifications

High school diploma or equivalent high school certification and two years of experience working in a college or university setting, or an equivalent combination of education and experience.

G07-H

Salary Range

$19.29 - $29.91 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
