Reporting to the Branch Manager, the Operations Coordinator will be working with the local Branch Office and/or the back-office Center for Excellence (COE) support teams to manage a variety of daily logistics and assigned duties that ensure the smooth daily operations of the business.  Typical tasks include ensuring proposals are submitted through the proper channels, purchase orders are secured, service work orders are closed out and billed consistently and on-time, assisting with the management of assigned customer projects having unique logistical or administrative requirements, and other administrative duties, as assigned by the Branch Manager. 

The ideal candidate will be outgoing, highly organized, possess excellent communication skills, and can resolve problematic situations quickly with a good eye for detail.

Hourly Range: $22.00 - $25.00

Schedule: Monday - Friday, 8:00AM - 5:00PM

Responsibilities:

  • Assist Field Service Managers or Operations Managers with the day-to-day coordination and management of assigned customer activities
  • Liaise with assigned customers.  This is including, but not limited to, communicating service status, securing purchase orders, submitting proposals, and coordinating work order scheduling
  • Troubleshooting/client support as assigned
  • Ensure service work orders are closed out and billed consistently and on-time.  Resolve questions or issues pertaining to subcontractor labor billing.
  • Build and maintain strong vendor relationships to support overall branch and customer operations
  • Assist with other administrative tasks including, but not limited to, organizing / filing / archiving customer documents, managing office supplies, and the maintenance of office equipment
  • Providing support to other associates when necessary
  • Arranging and assisting with the onboarding of new associates
  • Performs other duties, as assigned

Qualifications:

  • High school diploma/GED required; Associates degree or higher in business management or related field is preferred
  • 2+ years of prior experience in an operations coordinator, office management or an administrative role
  • Bilingual (English/Spanish) is preferred
  • Proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Teams; experience with Salesforce is highly preferred
  • Outstanding customer service skills to include empathy, verbal/written communication, and follow-up with a sense of urgency
  • High energy, results-driven attitude
  • Accuracy and attention to detail is a must
  • High degree of innovation and independence, and the ability to work with minimal supervision
  • Must have a commitment to service excellence with a friendly and positive attitude
  • Ability to work independently with minimal supervision
  • Excellent work ethic, integrity, and accountability

Physical Requirements and Special Conditions of Employment:

  • Sedentary work that primarily involves sitting/standing while and working on a computer
  • Ability to work in a remote workforce team environment
  • Flexibility to be available during irregular hours depending on business needs

The final compensation offered will be determined based on various factors, including the candidate's location, level of experience, and skill set. As such, it may fall outside the range listed above.
