Position Summary

This position is responsible for a combination of front office support and supervision, as well as for management of the clinic and office affairs: supervising staff, and the coordination, planning, organization and administration of clinic as well as for providing clinical office support which includes greeting and registering patients, scheduling appointments, confirming in-network insurance benefits, collecting co-payments, answering incoming patient phone calls, and medication prior authorizations.

Job Description

Primary Duties & Responsibilities:

  • Provides day-to-day supervision of assigned staff and department workload.

  • Coordinates and monitors departmental workflow assignments/processes.

  • Coordinates, plans, supervises and organizes workload of assigned staff.

  • Ensure the needs of the clinic providers are met.

  • Greets patients, assisting with form completion; verifies accuracy of patient’s insurance and demographic information; provides HIPAA forms, consent-to-treat forms and other necessary clinic forms.

  • Collects co-pays for services; verifies and balances receipts and payments.

  • Reviews schedule for new patients, updating when necessary, obtaining insurance information and referral forms.

  • Schedules return patient appointments and patient testing.

  • May prepare patients’ charts for daily appointments and completes requisitions/orders per Washington University guidelines.

  • Assists patients with insurance questions regarding billing process.

  • Assists staff with sending patient letters along with other related scheduling duties.

  • Answers incoming patient phones calls and directs them to appropriate personnel.

  • Assists with incoming faxes and shared email folders to distribute them appropriately.

  • Submits prior authorization requests for medication or procedures per office guidelines.

  • Cross coverage of other office staff as needed.

Salary Range

$20.57 - $30.84 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
