Job Description: In-House Legal Executive Assistant (EU Support)
Position Overview
The In-House Legal Executive Assistant provides comprehensive administrative and organizational support to the legal department, assisting lawyers and legal teams operating across the European Union. This role ensures efficient workflow, timely document management, and effective communication within a dynamic, cross-border legal environment.
Key Responsibilities
· Provide direct administrative support to lawyers, including scheduling meetings, managing calendars, and coordinating travel arrangements across EU jurisdictions.
· Prepare, proofread, and format legal documents, correspondence, and presentations in accordance with EU legal standards.
· Maintain and organize confidential files, contracts, and case records, ensuring compliance with GDPR and other relevant EU regulations.
· Liaise with internal stakeholders and external partners, including law firms and regulatory bodies throughout the EU.
· Assist with legal research, case preparation, and the compilation of regulatory filings and submissions.
· Track deadlines, monitor deliverables, and follow up on outstanding legal matters.
· Support coordination of multi-country legal projects and cross-border transactions.
· Facilitate translation and localization of legal documents as needed.
· Manage expense reports, invoicing, and budgeting for the legal department, including spend with outside counsel.
· Working within Ariba procurement software, create purchase orders for certain matters, and completing the invoicing process.
Qualifications & Skills
· Bachelor’s degree or equivalent; legal studies or paralegal certification preferred.
· Proven experience as a legal assistant, executive assistant, or similar role, ideally within an EU context.
· Excellent written and verbal communication skills; proficiency in English required.
· Advanced proficiency in Microsoft Office Suite and legal management software.
· Exceptional organizational skills and attention to detail.
· Ability to handle sensitive information with discretion.
· Flexible, proactive, and able to work with minimal supervision and prioritize in a fast-paced, multicultural environment.
Preferred Experience
· 3+ years supporting legal teams or executives, preferably in an international or EU-focused organization.
· Experience coordinating projects across multiple EU jurisdictions.
· Familiarity with GDPR and EU data privacy requirements.
