Get to Know the Opportunity:

The Department Coordinator will provide a high level of support and coordination to the Fixed Income business management team and the Head of Investments and CIO, Fixed Income. The role will support ongoing ad hoc projects and business initiatives such as planning meetings, tracking deliverables, and preparing reports and meeting materials, as well as a balance of more experienced level administrative work. The Department Coordinator's role is multifaceted and offers a dynamic entry point into the investment industry and exposure to senior leadership.

  • Utilize and adapt to new technologies and software to enhance efficiency and productivity.
  • Deliver on-site support by acting as team lead for space planning, maintaining office supplies, coordination of requests and on-site meetings and events on behalf of Fixed Income business management.
  • Provide effective verbal and oral communications across all levels of the organization and across business units.
  • Prepare and distribute meeting materials for the Head of Investments and CIO, Fixed Income, as needed, using tools such as PowerPoint and excel.
  • Ability to travel as needed to support the Head of Investments and CIO, Fixed Income as needed.
  • Review and process invoices for approval and payment.
  • Initiate and/or assist in the organization and planning of special projects or events as assigned.
  • Assist in the coordination and scheduling of calendars for the Head of Investments and CIO, Fixed Income and Head of Business Management, to include travel expense management.
  • Provide administrative support, as needed, and assist with on-site client meetings, material preparation, and agendas.
  • Responsible for understanding and complying with firm policies and procedures while performing the role outlined above.

Minimum Knowledge & Experience:

  • Bachelor’s degree OR similar work experience of at least 5 years in administrative support.
  • Must feel comfortable working in a fast-paced environment, juggle multiple tasks, and work within deadlines.
  • Proactive, detail-oriented, assertive, and capable of managing high-pressure situations.
  • Strong skills in oral and written communication with the ability to communicate effectively and professionally with senior leadership.
  • Highly collaborative and able to work effectively with multiple stakeholders.
  • Excellent judgment and discretion required in handling confidential information.
  • Strong proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe professional, Concur.
  • Excellent organizational skills with attention to detail and demonstrated ability to work independently and exercise sound judgment.
  • Excellent Teamwork and interpersonal skills are required.
  • Strong skills in oral and written communication.

Compensation Pay Disclosure:

Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.

The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.

Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
