SUMMARY:

To effectively and efficiently manage and support our top customer’s needs. Provides  key information such as: pricing, delivery, product information, and coordinates internal meetings between the customer and internal departments.. Responds to customer inquiries by telephone, e-mail. Processes orders into the computer system. Prepares monthly business sales forecasts. Coordinate domestic and international paperwork for shipment. Determines appropriate delivery method. Function as liaison between the customer and other departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serves as central point of customer service contact for customer inquiries via phone, e-mail.
  • Maintains key account data , including part number cross reference, sales information, end contract delivery on current contracts, last delivery, lead-times, flagged reorder date, etc.
  • Responds to price and availability questions and issues associate price quotes.
  • Provides preliminary qualifying Request for Quote (RFQ) questions (to complete probability, award dates, etc.)
  • Reviews Open Order Reports (OOR) based on customer requests.
  • Prepares Excel spreadsheets.
  • Opens and tracks RFQ's through the system prior to quote stage.
  • Verifies order delivery dates and resolution of delivery delays.
  • Enters orders into JD Edwards (JDE) system and any associated changes to deliveries.
  • Resolves customer issues (researching, clarifying, and resolving issue). This includes working with Production Control, Purchasing, Accounting, Warehouse, etc.
  • Supports Strategic Account Manager as required.
  • Raises "elevated" un-resolved customer issues through proper channels.
  • Coordinates and issues Return Authorizations.
  • This job position requires compliance with the International Traffic in Arms Regulations (ITAR regulations). Therefore, all employees working in this capacity must meet citizenship status. The employee must be a U.S. Citizen or a U.S. Permanent Resident.
  • Complies with health and safety policies and procedures.
  • Supports company values including ethical conduct and high integrity in all actions.

OTHER DUTIES AND RESPONSIBILITIES:

  • Attends appropriate meetings, as required (RFQ, Sales Administration Meetings, etc.)
  • Prepares requested reports, spreadsheets for sales department travel and/or customer.

  • Scan emails for new/revised Purchase Orders. By reviewing historical usage/data,

  • Add orders over $10k to quote tracker list and manage weekly.
  • Daily contact with supply chain, engineer, quality, VSMs on issues, updates…
  • Trade Compliance for international orders.
  • Review price history for anomalies and formulate strategic updated pricing.
  • Manage and follow any repairs from our customers through the current process to ensure movement through operations until the funded Purchase Order (PO) is received, and the repaired unit is shipped back.
  • Educate/share the Voice of the customer with all departments to drive daily understanding of the customer’s needs, how the customer operates to empower them to “think” in the customer’s shoes and answer their own questions.
  • Support Commercial Director, General Manager, Apps Engineers, Commercial Managers – for information/perspective/data/miscellaneous asks.
  • Complies with the Clean Room Protocol when entering a clean room environment.

EDUCATION/TRAINING/WORK RELATED EXPERIENCE:

Associate degree (A.A.) or equivalent from two-year college or technical school; or four years related experience and/or training; or equivalent combination of education and experience.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

PHYSICAL REQUIREMENTS:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.

Travel to meet with clients or potential clients will be required on occasion.
