Job Summary

We are looking for an enthusiastic operations coordinator to assist Operations with the management of daily business activities and administrative tasks, to ensure employee wellness and operational effectiveness.

The operations coordinator must be versatile and be able to wear many hags. Our ideal applicant possesses exceptional organizational skills, strong communication skills, and enjoys working with people. Key responsibilities include assisting human resource with employee orientation and training, managing invoices, and serves as general support for all employees.

To be successful as an operations coordinator, you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills.

Job Description

Essential Functions

  • Perform administrative tasks, such as handling phone calls, ordering office supplies, and ensuring the office environment is clean and organized.
  • Assist with coordinating and organizing company events or meetings.
  • Assist existing and new staff with the airport badging process by creating profiles, making appointments, and submitting applications.
  • Responsible for inventory and ordering of employee uniforms and office supplies.
  • Organize and distribute employee paychecks.
  • Serve as general point of contact to research, triage and resolve general IT matters including submitting Helpdesk tickets.
  • Assist Operations with reviewing and approving general invoices, tracking, and updating reports.
  • Coordinate and enroll employees in driver certification training.
  • Assist with intake and processing of employee requests such as new hire paperwork, tax forms, direct deposit requests, corrective actions notices, and on the job training forms. Responsible for maintaining employee organizational chart.
  • Various reports using Excel and other MS Office Software.
  • Serves as a project lead for multiple projects, tracks progress and follows through to completion with little or no supervision.
  • Perform other related duties as assigned to ensure the efficient and effective function of the work group.
  • Maintains open, professional, and collaborative communications between Management and the Client.

Minimum Required Qualifications

  • High School Diploma or GED Equivalent.
  • Minimum of two (2) years of administrative experience.
  • Working knowledge of Microsoft Office skills, specifically Word and Excel. Experience creating Power Point presentations.
  • Must be able to problem solve medium to complex issues with limited input form others.
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Ability to work independently with minimum supervision. Strong organizational and time management skills.
  • Ability to work under pressure and meet tight deadlines.

Desired Qualifications

  • General Understanding of Unions and labor laws related to timekeeping and wage compliance.
  • Bilingual in Spanish.
  • Progressive computer knowledge with intermediate skills.

While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, talk or hear. Physical requirements include stooping, standing, climbing, and occasionally lifting of up to 40 lbs. of office and facilities equipment. Specific vision abilities required by the job include close vision, distance vision, and the ability to adjust focus.
