Job Description:

RATE OF PAY: $55,000 annually

The Coordinator Sr position is established to enhance departmental operations by providing additional support in facility management, events, and student staff supervision, while also offering a structured learning experience for individuals pursuing careers in higher education and campus recreation. As a member of the Student Services Facilities and Events team, this role supports the overall event and facility operations of the Sun Devil Fitness Complex at the Tempe campus.

Responsibilities include providing direct guest service, overseeing event setup and breakdown, coordinating facility operations, and supervising a large team of student staff while fostering their ongoing development. This position reports to the Associate Director of Unions and Centers and works collaboratively with the Sun Devil Fitness and Wellness teams in support of programs, events, and activities.

Essential Duties:

  • Provide customer services and act as a liaison to faculty, staff, students, alumni and general public

  • Supervise work of Management Intern and Student Staff

  • Professionally represent department/program

  • Work collaboratively across various departments within the University and with diverse populations and groups to achieve objectives

  • Manage aspects of operation of the Sun Devil Fitness Complex.

  • Lead the hiring and onboarding of student staff members, including leading recruitment efforts, training, scheduling, processing payroll, and helping uphold accountability to departmental expectations and performance standards.

  • Support student staff development by creating and leading ongoing trainings, meetings, and professional development opportunities, and contributing to a collaborative team learning environment.

  • Monitor facility spaces through regular walkthroughs to ensure cleanliness, organization, and readiness for use.

  • Report maintenance issues, safety concerns, injuries, property damage, or unusual incidents to appropriate staff members in a timely manner.

  • Address patron comments, concerns, behaviors and conduct issues as necessary and with outstanding customer service.

  • Support and manage reservation requests using scheduling software (e.g., Mazevo), ensuring all bookings align with departmental and university policies.

  • Collaborate with team members and campus partners to support daily operations and ensure successful event execution.

  • When necessary, produce, update, and interpret event diagrams and setup instructions using tools such as Social Tables, ensuring accurate and detailed execution of event layouts.

  • Assist with the setup and breakdown of event spaces, including conference rooms, multipurpose, and outdoor areas, arranging furniture and equipment according to event specifications.

  • Communicate and enforce university, campus, and facility policies in a professional and approachable manner.

  • Support basic audio/visual needs for events and provide troubleshooting assistance when needed.

  • Generate and distribute event reports and communicate event details with internal campus partners and staff.

  • Serve as a point of contact for guests and clients, offering accurate information about campus resources, facilities, and services.

  • Assist with creating, forecasting, monitoring and allocating facility budgets.

  • Assist with purchasing and maintenance of program equipment and supplies.

  • Enforce program and facility policies correctly and consistently and ensure a high level of risk management is present in the programs and services.

  • Maintain a strong working knowledge of campus facilities, events, and available resources to effectively assist clients and guests.

  • Uphold professionalism, accuracy, and confidentiality when handling client and university information.

  • Participate in all required staff meetings, training, and professional development opportunities.

  • Job location is primarily at the Tempe Campus; however, the incumbent will be required to periodically travel to other ASU campuses to perform work.

  • Use critical thinking to make decisions and/or analyze data

  • Evaluate program effectiveness and compliance with university and department policies and requirements

DAYS and SCHEDULE: Majority of hours will be assigned Monday-Friday, between the hours of 8:00 am to 5:00 pm; flexible scheduling to accommodate regular evening and weekend hours based on event programming and operational needs. Work location is primarily at the Tempe Campus.

Desired Qualifications:

  • Evidence of a Master’s degree, preferably in Higher and Post-secondary Education, College Student Personnel, Public Administration or a related field; OR

  • Evidence of a Master's degree in Social/Behavioral Sciences, Recreation, Leisure Studies, Sports Management

  • Proven ability to train students for leadership roles and cultivate strong relationships with both student and professional staff.

  • Experience in event management and facility operations preferred.

  • Experience in fitness/wellness programming.

  • Experience with Risk Management practices

  • Expertise in effectively coordinating and prioritizing tasks for oneself and others, with a comprehensive understanding of university policy interpretation.

  • Strong aptitude in establishing and nurturing productive working relationships.

  • Documented evidence showcasing exceptional communication skills.

  • Evidence of effective written and verbal communication skills

  • Knowledge of management principles and practices, project management and coordination of activities

  • Skill in organizing resources, establishing priorities and implementing research

  • Experience working independently and as part of a team.

  • Effectively communicate information in a clear and professional manner.

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
    Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.

  • Regularly performs tasks in the field within across university campuses.
