DEPARTMENTAL SUMMARY: The Medical Staff Services Department at St. Charles Health System is recognized as the gatekeeper of patient safety within the healthcare industry. The professionals working in Medical Staff Services serve as the experts in matters of credentialing, privileging and medical staff governance within the healthcare community. This foundation is the basis upon which safe and quality care can be assured for patients.

POSITION OVERVIEW: The Manager, Medical Staff Services, at St. Charles Health System, is responsible for the oversight activities within the System’s Medical Staff Offices to include management of credentialing/privileging information, coordination of correspondence and interactions with providers and external organizations. The Manager ensures that team members follow State and Federal regulations, and Organization and Department policies and procedures. The Manager promotes and strengthens team member engagement, process improvement initiatives, patient/customer satisfaction, and workplace safety. The Manager maintains and enhances interpersonal relationships with medical staff, team members, internal and external customers, patients, and visitors. This position directly manages other caregivers.

ESSENTIAL FUNCTIONS AND DUTIES

Manages Medical Staff Caregivers:

  • Recruit, hire, and terminates caregivers, ensuring qualified staff to fulfill assigned duties.

  • Orients and trains caregivers, verifies competency of team, and actively suggests ways to develop team skills.

  • Monitors workflow of caregivers, providing feedback as needed to actively manage performance.

  • Monitors caregiver compliance with timekeeping and approves requests for time off.

Manages Departmental Operations:

  • Maintains credentialing database continuously and consistently to ensure accurate and current information.

  • Assists in preparation, monitoring, and maintaining the departmental budget.

  • Accountable for the maintenance of practitioner/provider credentialing processes, reports, minutes, and transmission of final Board actions.

  • Assists with development, monitoring and periodic review of departmental and Medical Staff policies and procedures.

  • Implements tools and processes to support knowledge management, record-keeping, and internal and external communication.

Manages Compliance with State, Federal and Accreditation Standards:

  • Reports to Medical Staff and Organizational leadership when adverse actions are taken against a practitioner/provider in accordance with applicable law and contractual requirements.

  • Oversees the monitoring and reporting of sanctions and complaints for practitioners/providers to inform, and recommend action by organizational leadership.

  • Oversees the development and dissemination of informational/educational documents to communicate critical information regarding organizational programs and policies.

  • Develops and cultivates working relationships with key stakeholders, both internal and external to ensure appropriate awareness of key issues and decision-making.

  • Updates applicable governing documents that support and direct organizational practices and ensure compliance.

  • Prepares for regulatory bodies (TJC, NCQA, CMS, federal and state) surveys. Participates in the continuous readiness program for TJC.

  • Guides Medical Staff Officers in the pursuit of their responsibilities as defined in the Medical Staff Bylaws, and Rules/Regulations.

Facilitates Medical Staff functions:

  • Facilitates meetings with leadership to develop on-boarding processes to assist practitioners/providers and to meet education requirements. Oversees the new provider orientation process.

  • Collaborates with executive teams to develop and implement orientation, educational and training activities to ensure staff’s ongoing competence.

  • Interprets and educates the Medical Staff on applicable laws and accreditation standards to ensure appropriateness of internal operations and responsiveness to external change.

  • Supervises internal educational programming for practitioners/providers.

  • Effectively leads and develops medical staff through communication, conflict management, building relationships, and maintaining knowledge and expertise in all areas across the industry.

  • Conducts and executes special projects as required.

  • Ensures fulfillment of criteria for Medical Staff membership for applicants seeking privileges at one or more of the St. Charles Healthcare facilities.

  • Facilitates the Medical Executive Committee and Credentials Committee. Prepares agendas, documents meeting minutes, performs follow-up as required and prepares reports to the Board of Trustees.

EDUCATION               

Required: Bachelor’s Degree; or in lieu of the above educational requirement previous work history and years of experience may/will be considered.

Required: CPCS or CPMSM certification; or must achieve certification within two (2) years of hire.

EXPERIENCE

Required: Minimum of 5 years’ experience in the medical staff services credentialing field. Minimum of 2 years of previous supervisory experience, preferably in a healthcare environment.
