Key responsibilities for this role include:

Works alongside the Sandwich Administrative Team to provide generic administrative support to project and operations teams based at Sandwich by:

  • Planning travel logistics/ground transportation for colleagues, both global and local itineraries

  • Attend and minute selected departmental meetings, preparing agendas, tracking updates

  • Assist with hospitality orders via a third-party portal for onsite meetings

  • Follow booking procedures to book external meeting rooms

  • Process expense reports and problem solve issues for users across the department

  • Assisting with procurement activities: raising, tracking and receipting purchase orders (Po’s), liaising with vendors on any account queries

  • Arrange as required interview schedules across the department

  • Process any BACs payment requests as needed

  • Prepare and edit correspondence, communications, presentations and other documentation as requested using a SharePoint platform

  • Provision of cover for absence of other team members (consistent with training and expertise)

  • Adherence to all applicable policies and procedures, including those relating to EHS, GMP, GCP, Quality and Compliance, consistent with the role and any associated responsibilities.

  • Perform other duties as assigned consistent with the grade of the role

The minimum requirements for the position are outlined below. A combination of experience and/or education may be taken into consideration:

  • Experience/Knowledge

    • Previous administrative experience required

    • Proficient on Microsoft products including Outlook, Word, PowerPoint and Excel

    • Strong customer service focus with ability to work collaboratively with others

  • Skills/Abilities

    • Effective verbal and written communication skills

    • Ability to interact with staff at all levels both internal and external

    • Able to work with confidential information in a discrete manner

    • Must be proactive and solution orientated looking for ways to add value to the team

    • Action oriented

    • Demonstrates strong inter-personal and organisational skills

    • Ability to multi-task and prioritise work with strong attention to detail

    • Consistently demonstrates an enthusiastic, positive and helpful demeanour

    • Ability to work confidently, independently and as part of a team

This is a site-based role that is not suitable for flexible or remote working.  This role is a contract position via an agency, 30 hours per week across 4 days for a period of 12-15 months.
