Administrative Assistant - Human Resources Department

Job Description Summary:

Serve as first point of contact in the Human Resources Employee Service Center and create a welcoming environment by greeting employees and visitors, answering phone calls and responding to emails, directing visitors, and taking messages for other HR team members.

This position is 100% on-site, Monday-Friday, 8 a.m. to 4:30 p.m.

Job Description:

Key Roles and Responsibilities:

  • Provide excellent customer service as the first point of contact with our customers by greeting each person in a professional and courteous manner, listening and answering questions, researching to find answers when needed, and referring customers to the appropriate person for resolution.

  • Complete initial and re-verifications of I-9s; complete E-Verify actions; ensure immigration administration and documents are in compliance with applicable policies and regulatory requirements.

  • Answer basic HR questions for employees in a variety of areas, including benefits and timekeeping.

  • Maintain electronic personnel files in compliance with applicable policies and regulatory requirements. Scan all documents into online software ensuring documents are in the proper folder and legible. Handle each document with a high degree of confidentiality.

  • Receive and handle mail; distribute to other HR teams as appropriate; assist with outgoing mail as needed.

  • Coordinate with Executive Assistant regarding ordering office supplies and stocking or organizing items as directed.

  • Provide administrative assistance and/or project support to other HR teams when requested. 

  • Participate in supporting employee appreciation events and other related HR-sponsored events and activities.

 

Required Qualifications

Education: High School diploma or equivalent.

Work Experience:

  • 1-2 years of administrative assistant experience that includes reception duties.

  • Experience handling confidential and sensitive issues or documents.

  • Computer experience, especially Microsoft Office (e.g., Outlook, Word, Excel, PowerPoint).

  • Customer service experience.

 

Preferred Qualifications

Education: Bachelor’s degree in a business-related field.

Work Experience:

  • Experience using Workday or similar HRIS.

  • Experience in healthcare or higher education workplaces.

  • Experience with I9s, E-Verify, and/or employment visas.

Skills:

  • SharePoint

  • Interpersonal skills.

  • Effective communication, including writing skills and communicating with others to understand their needs and explain information in a helpful manner.

  • Organizational skills, attention to detail, and time management.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
