Job Description:

The Learning & Development (L&D) Operations Specialist is a project- and process-oriented professional responsible for the operational delivery, coordination, reporting, and logistics that enable enterprise learning programs to execute smoothly and consistently. This role ensures learning initiatives are delivered on time, accurately tracked, compliant, and scalable. It is distinct from Instructional Content Specialists and facilitators — the L&D Operations Specialist does not design content or deliver training. Instead, they focus on operational execution, coordination, communication, and measurement, ensuring learning programs actually happen and are sustainable.

What You'll Do:

Program Logistics & Coordination

  • Coordinate the end-to-end operational delivery of learning programs (in-person, virtual, and hybrid).

  • Manage training calendars, scheduling, venues, facilitator logistics, technology setup (for live sessions), materials, and operational communications.

  • Ensure all learning events are operationally ready and executed consistently.

Learner & Stakeholder Support

  • Serve as a primary point of contact for learners, leaders, facilitators, vendors, and internal partners regarding operational questions and logistics.

  • Manage learner communications including registrations, confirmations, reminders, follow-ups, and post-program communications.

  • Troubleshoot and resolve day-of or pre-session operational issues to protect the learner experience.

Reporting & Data Coordination

  • Track participation, attendance, completions, certifications, and compliance-related training outcomes using approved reporting tools and processes.

  • Maintain accurate learning records and dashboards to support leadership reporting and decision-making.

  • Partner with HR, Talent, or Learning Technology teams as needed to ensure reporting accuracy.

Process Improvement & Documentation

  • Generate standard operational reports and ad-hoc summaries (e.g., program reach, completion trends).

  • Analyze operational workflows and recommend improvements to increase efficiency, scalability, and consistency.

  • Document and maintain standard operating procedures (SOPs) and operational playbooks for recurring L&D activities.

  • Compliance & Quality Assurance

  • Ensure required training is delivered and operationally tracked in alignment with compliance standards.

  • Conduct quality checks on participation data, learner communications, feedback collection, and operational execution.

  • Support audits or reviews related to training delivery and records (without owning system administration).
