Job Description

Job Summary:

The Program Assistant will play an integral role in supporting collaborative efforts with internal and external partners to identify and address health priorities within Chicago neighborhoods. Responsibilities will include assisting in the implementation of community health strategies, supporting coordination of initiatives and events, engaging with marginalized populations, supporting communication and marketing efforts and providing administrative and other program support functions.

Job Responsibilities:

  • Support collaboration efforts with internal and external partners, including community leaders, healthcare professionals, researchers and public health practitioners to identify health priorities and assist in the development of community health and engagement strategies.

  • Assist in coordinating the planning, implementation, and evaluation of community health and engagement initiatives, programs, and events.

  • Engage with community partners, residents and marginalized populations across Chicago neighborhoods, particularly those disproportionately affected by health inequities, by assisting with communication and coordination efforts.

  • Aid in building and maintaining relationships with community-based organizations, schools, libraries, parks, places of worship, businesses, and service providers through participation in engagement and capacity building activities.

  • Assist with planning community and city-wide convenings, trainings, and workshops, with a focus on diverse representation from various backgrounds and lived experience.

  • Assist with program logistics, event/meeting coordination, and project materials and documentation maintenance. Aid in the preparation of status reports on project progress, outcomes and impact. Support administrative tasks such as scheduling meetings, booking conference rooms/space, making copies, preparing meeting supplies, taking notes and compiling key takeaways, decisions and action items.  

  • Support communication and marketing efforts by assisting with the development of content and materials for community health and engagement initiatives, education and events.

  • Collect and input data for program evaluation and reporting purposes, including data entry, note taking, transcription and document review.

  • Provide support in grant applications, reporting, and fundraising efforts, including assisting with research and documentation tasks in collaboration with staff and leadership.

  • Assist in the management of membership databases, coalition rosters and mailing lists.

  • Attend regular check-ins with leadership, managers, staff and collaborators, and attend team and department meetings.

  • Perform other duties as assigned.

Education and Experience:

  • High school diploma or GED required. Some college or associate degree in related field preferred.

  • Minimum of 1 year of program assistant, administrative assistant, community engagement, patient services or other relevant experience preferred.

  • Flexibility to work on evenings and weekends, travel throughout Chicago likely.

  • Developing interpersonal, verbal and written communication, problem-solving, organizational and time management skills with the ability to prioritize and delegate tasks effectively.

  • Basic proficiency in Microsoft 365 software required. Experience with database management and survey software and tools preferred.

  • Ability to collaborate with individuals from different backgrounds and disciplines and build relationships across all levels of the organization.

  • Ability to take initiative, work independently and be self-directed.

The Patrick M. Magoon Institute for Healthy Communities is seeking a Program Assistant to support the Mentorship and Workforce Development Initiatives team. This role involves a range of administrative tasks, including managing supplies, catering orders, meeting scheduling, room reservations, and travel arrangements, as well as preparing program materials and taking meeting notes. This position will contribute to the Institute’s mission to advance health equity for Chicago’s infants, children, adolescents, and families by playing an integral role in collaborative efforts to advance mentorship and workforce development programming working with internal and external partners. The Program Assistant will also play an active role in community outreach events, school visits, and supporting student and intern activities, such as conducting interviews, helping students navigate to their internship sites, and addressing any student-related concerns. This position is ideal for a detail-oriented individual with a passion for supporting youth development and engagement in the community.

The Mentorship & Workforce Development Initiatives team, part of the Magoon Institute, provides programs that support students from elementary school through post-graduate levels in pursuing healthcare careers. Focusing on underserved youth, the team offers leadership development, hands-on healthcare experience, and access to training workshops, networking and potential employment opportunities. To reduce barriers, the programs provide stipends, transportation assistance and mental health and wellness resources, equipping students for success in the healthcare field and fostering a pipeline of diverse talent for the industry.

The Magoon Institute serves as the hub for all community-focused initiatives at Lurie Children’s. The Magoon Institute is responsible for aligning the Medical Center’s clinical, research, education and advocacy expertise with community engagement, while supporting people, programs and partnerships that advance community health and health equity.
