 CORE RESPONSIBILITIES: To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.

Field Operations & Equipment Support

  • Source and locate rental and service equipment across branches and approved vendors
  • Coordinate equipment availability to meet jobsite schedules and emergency demands
  • Support equipment mobilization and demobilization activities
  • Work closely with field teams to ensure equipment readiness and accuracy
  • Assist Service Technicians with field work orders
  • Maintain accurate inventory records for parts and equipment, and address any discrepancies

Dispatch, Logistics & Scheduling

  • Dispatch and schedule trucks for equipment deliveries and pick-ups
  • Coordinate logistics with drivers, field technicians, and branch personnel
  • Maintain delivery and pick-up schedules aligned with jobsite requirements
  • Prepare and manage dispatch documentation and customer sign-off paperwork

Order Processing & Purchasing

  • Create and process rental orders, service orders, and purchase orders
  • Generate rental and service quotes and convert them into active orders
  • Ensure labor, equipment, parts, and service operations are accurately entered into systems
  • Maintain documentation related to purchasing and equipment movement

Contract Administration

  • Support customer contract setup, renewals, extensions, and simple modifications
  • Review auto-renewals and coordinate contract additions with sales and branch staff
  • Ensure contract terms, rates, and freight agreements are accurately reflected in orders
  • Assist in resolving contract-related issues

Billing & Financial Accuracy

  • Ensure accurate time entry, billing codes, and cost allocation
  • Support billing for rentals, projects, and service engagements
  • Obtain and maintain customer payment information
  • Assist in resolving billing discrepancies and customer inquiries

Safety, Compliance & Culture

  • Promote and maintain a safe working environment and strong safety culture
  • Demonstrate accountability, ownership, and operational excellence

• Demonstrates high impact culture through innovation, accountability and empowerment

• Must be able to function in a team environment; usually works with direct supervision but can work independently

• Task execution for area of responsibility up to levels defined in Xylem’s DOA policy

Travel Requirements:

• < 5%

Driving Requirements:

• Must have a clean driving record

QUALIFICATIONS:

Education & Experience Requirements:

  • High school diploma or equivalent with 2+ years of operations, field coordination, rental, or  service experience OR Bachelor’s degree
  • Experience in equipment rental, construction, utilities, or industrial services preferred
  • Forklift certification preferred
  • Proficiency in Microsoft Office and ERP systems; dispatch or billing system experience preferred

• Demonstrated ability to troubleshoot logical processes and basic knowledge of circuit testing

Skill Requirements:

• Intra-departmental communication for purpose of alignment/ information sharing

• Able to executive tasks medium levels of autonomy; limited guidance required for complex tasks

• Able to collaborate with other disciplines

• Ability to understand concepts in execution and strong organization skills

• Understanding of general business concepts

• Strong communication skills

• Basic understanding of typical IT business tools

Physical Demands:

  • Ability to lift up to 50 pounds
  • Regularly required to sit, stand, bend, reach, and move between office, yard, and jobsite areas
  • Combination of office, yard, and field environment
  • Standard work schedule: 40 hours per week
