Coordinates and monitors the overall process of physician privileges related to medical record completion. Serves as the Medical Record liaison for new providers and orientation. Has oversight for medical record integrity regarding record selection and placement of documentation for both providers and clinical staff within the electronic medical record.

Oversight of Incomplete Document Functions                  

  • Coordinates the notification of providers regarding medical record deficiencies, distribution of notification letters, and the temporary suspension of hospital privileges.
  • Assists providers and staff with completion of record deficiencies, answering questions and troubleshoots as needed.
  • Completes analysis or re-analysis of deficient records identified through HIM Refusal Message Center and ICG systems, updating deficiencies in appropriate system.
  • Maintains the integrity of the electronic medical record by ensuring that all documents and documentation is filed in the appropriate place within the EMR and on the appropriate account to ensure patient safety, quality, and operations.
  • Monitors incomplete medical records reports and tasks queues ensuring all records are complete and accurate

Organizational oversight for the Master Patient Index                                                          

  • Oversight of email group DL Combines and duplicate detection software to identify, review, and process combines in a timely manner
  • Responsible for final decision making regarding clean up and corrections within the master patient index and third-party systems as needed
  • Maintains communication with Patient Access, Privacy Coordinator, and other departments regarding encounters associated with incorrect patients
  • Assists with on call coverage for MPI maintenance

Oversight of Medical Record functions                                                    

  • Oversight for MCIR reports and disbursing feed ack to areas as appropriate
  • Provides oversight for summary of care message center and reports back to IT areas of concern
  • Oversight of ordering office supplies and forms for the department
  • Responsible for quarterly MHA data review and reconciliation

Oversight of Provider Orientation                                                                  

  • Responsible for physician orientation regarding record completion, suspension process, and document placement
  • Ensures content of new physician orientation is appropriate, timely and succinct.
