Job Description

To assist the Estate Manager in all operations of the Howe family properties.

The Estate Coordinator is responsible for supporting the daily operations, logistics, and administrative functions of a private estate or portfolio of properties. This role ensures seamless coordination of property maintenance, vendor management, scheduling, and service delivery while maintaining a high standard of professionalism, discretion, and efficiency.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Assist in all requested tasks directed by Estate Manager

  • Coordinate all event details, floral arrangements and décor etc.

  • Assisting with Estate Manager’s duties during his absence including household staff and property functions

  • Create and track record keeping systems, maintain files and household information

  • Assist with schedule and household calendar management

  • Prepare meeting agendas and minutes

  • Coordinate projects/maintenance appointments and perform weekly checks

  • Select and direct some of the property vendors

  • Balance employees’ receipts

  • Purchase household items and office supplies

  • Assist in all day-to-day property assignments under the direction of Estate Manager

  • Coordinate day-to-day estate operations to ensure properties are maintained to the highest standards

  • Assist in planning and execution of events hosted at the estate (if applicable)

  • Vendor & Contractor Management

  • Assist with scheduling and oversight of vendors, contractors, and service providers

  • Ensure work is completed on time, within scope, and meets quality expectations

  • Property & Facilities Oversight

  • Conduct routine inspections of estate grounds and buildings

  • Identify maintenance needs and escalate issues appropriately

  • Maintain inventory of supplies, equipment, and household items

  • Administrative Support

  • Maintain organized records related to property operations, expenses, and contracts

  • Assist with expense reporting and invoice processing

  • Manage calendars, schedules, and service appointments

  • Ensure readiness of property for guests and owners

Education and/or Experience

BS/BA and 1+ years’ experience or equivalent combination of education and experience

Work Location

This position must work on-site at the San Diego Sanctuary Retreat Properties, LLC for purposes of providing adequate support to internal clients; being available for face-to-face interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as for facilitation of quick and effective decisions through collaboration with stakeholders. Remote work is not an option for these purposes.

 

Working Hours

This is a full-time non-exempt position requiring one to be able to work overtime from time to time to get the job done. Therefore, one must have the ability to work nights, weekends or on holidays as required. This may be changed at any time to meet the needs of the business. The typical working hours for this position are Monday through Friday from 8:00am to 5:00pm.

This position requires no travel; however, limited travel may be required in the future.
