HR Services Specialist (Leaves)

The HR Services Specialist (Leaves) counsels employees and managers on leaves of absence and requests for accommodation informed by federal, state, and local laws and system policies, plans, and procedures. This role manages the entire leave lifecycle spanning leave counseling, starting a leave, managing a leave, and returning employees from leave. This role gathers and maintains accurate and complete records, making sure tasks are completed in accordance both with federal, state, and local laws and regulations and system policies and procedures.

  • Hours: Monday-Friday, during normal business hours

What you will do:

  • Maintains accurate and up-to-date electronic and paper human resource files, records, and documentation to ensure compliance and effective, efficient, and accurate administration of employees spanning the health system.

  • Communicates with employees regarding their needs for leave and/or requests for accommodation. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  • Handles leave administration process from the employee's initial notice of the need for leave through the post-leave return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

  • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.

  • Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.

  • Collaborates with Employee Health to oversee the return-to-work clearance process for employees returning from extended FMLA, workers compensation, and/or other leave(s).

  • Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.

  • Preserves confidentiality of employee medical documentation and files.

  • Refers complex matters to appropriate centers of expertise and/or HR management.

  • Contributes to and continuously improves knowledge in the HR knowledgebase to ensure consistent and accurate information is available to employees and HR service representatives.

  • Maintains knowledge and understanding of laws and regulations related to employment law and area(s) of specialization.

  • Performs other related duties as assigned.

What you will need:

  • Education: Bachelor's degree in Human Resources or a related field; Associates degree with at least three years of relevant human resource administration and/or high-volume contact center experience also acceptable.

  • Certification:

    • SHRM Certified or Senior Certified Professional (SHRM-CP/SCP) or HRCI Professional or Senior Professional in HR (PHR/SPHR), preferred

    • Completion of a specialized FMLA and/or leave certification or training, preferred

  • Experience:

    • 2 years of general professional human resource administration experience.

    • 2 years of experience managing leaves.

    • Ability to speak and write fluently in a second language, particularly Spanish.

    • Prior experience working with Workday HCM, ServiceNow Case and Knowledge Management.

  • Unique or Preferred Skills:

    • Knowledge of the leave requirements and other legal protections afforded by the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), the Vietnam Era Veterans' Readjustment Assistance Act (VEVRAA), Uniformed Services Employment and Reemployment Rights Act (USERRA), Victims' Economic Security and Safety Act (VESSA), and other state and local leave laws, and system short-term and long-term disability plans. 

    • Excellent verbal and written communication skills.

    • Excellent time management skills with the proven ability to meet deadlines.

    • Excellent interpersonal, conflict resolution, and de-escalation skills.

    • Excellent organizational skills and attention to detail.

    • Proficient in Microsoft Office Suite or similar software.
