This role offers an opportunity to lead and manage the operations of the office to ensure a seamless and efficient work environment.  The individual will provide quality and cost -effective office and facility services for the Durham Office.  Professional communication is essential as this person will be working with vendors and suppliers to ensure availability of supplies, high service levels and efficient operation that meet our high-quality standards.  The candidate will also provide general supervision and back-up support for the front desk reception staff and associated duties.

Summary of Responsibilities:

  • Order office supplies; perform associated administrative tasks, including coding and assembling of invoice packages for accounting. Research costs and supplies for various office items and equipment. Solicit competitive bids.
  • Manage provisions of general office supplies, refreshments, snack bar, copier supplies, first aid and conference room equipment and supplies coordinating with vendors and suppliers to ensure stock levels are maintained and sufficient for planned events.
  • Trouble-shoot problems with office equipment and furniture. Place service calls to appropriate vendors for office equipment and office facilities. Communicate outages to staff.
  • Coordinate internal staff moves and assist with minor furniture modifications and moves.
  • Provide direction to Front Desk staff. Ensure smooth and consistent operation of office services on a daily basis. Conduct daily meetings with Front Desk staff to coordinate work and schedules. Provide training to new office services staff, when necessary.
  • Serve as reception desk backup and backup in all their functions.
  • Manage all FM contracts to include: building maintenance, catering, cleaning, security, access control, archiving, insurance, office equipment, etc.
  • Ensure all contract works are completed in line with current contracted SLAs, current Health and Safety standards, legislation and compliance requirements with risk assessments prepared and method statements completed prior of commence of work on site. Once on site, ensure that written statements are always adhered to by contractors.
  • Maintain all PM and services records to adhere to all compliance and audit requirements.
  • Work with Site Leader, Security Leader and Real Estate & Facility Manager to ensure that Crisis Response Management Plan and Business Continuity Plan are maintained.
  • Supervision of Mailroom Services and Postal/courier services within office – this may involve some actual Mailroom services and delivery duties.
  • Assist finance in problem solving of facilities invoices within country and act as main FSA purchase requisitioner.
  • Oversee use of and be proficient in the computerized security access system to update and monitor security access cards to ensure proper and secure access to the site.
  • All other duties as needed or assigned.

Qualifications (Minimum Required):

  • High School diploma (Secondary Education Preferred)
  • Ability to communicate fluently in English
  • Fortrea may consider relevant and equivalent experience in lieu of educational requirements

Experience (Minimum Required):

  • 5 years of experience in the job discipline
