We currently have an excellent opportunity for a

Facilities Coordinator (m/f/d)

to join our Integrated Facilities Management team in Frankfurt.

Your tasks:

Vendor Management:

  • Oversee and coordinate local vendors providing various FM services
  • Conduct regular performance reviews of vendors
  • Negotiate and manage service level agreements
  • Ensure vendors comply with all relevant regulations and client-specific requirements

Facilities Agenda Planning:

  • Maintain an annual facilities management plan
  • Schedule and coordinate routine maintenance, inspections, and upgrades
  • Anticipate future facility needs and plan accordingly
  • Manage budgets and track expenses related to facilities operations

Client Relationship Management:

  • Serve as the primary point of contact for the client on all FM-related matters
  • Build and maintain strong relationships with key client stakeholders
  • Conduct regular meetings with client representatives to discuss FM performance and address any concerns
  • Proactively identify opportunities to improve service delivery and client satisfaction

Service Delivery Oversight:

  • Ensure all FM services are delivered to the highest standards
  • Monitor and report on key performance indicators (KPIs)
  • Implement and maintain quality control processes
  • Respond promptly to client requests and resolve issues efficiently
  • End to end finance admin of PO’s, invoices, and trackers

Health, Safety, and Compliance:

  • Ensure compliance with all relevant health and safety regulations
  • Conduct regular safety inspections and risk assessments
  • Maintain accurate records and documentation
  • Coordinate emergency preparedness and response procedures

Continuous Improvement:

  • Identify and implement process improvements
  • Stay informed about industry best practices and new technologies
  • Contribute to the development of innovative FM solutions

Reporting and Communication:

  • Prepare and present regular reports on FM performance to both JLL management and the client
  • Communicate effectively with all levels of staff, from front-line employees to senior executives

Your profile:

  • Minimum of 3-5 years of experience in facilities management, preferably in a corporate or financial services environment
  • Facilities Management Background
  • Fluent in German and English (both written and spoken)
  • Strong knowledge of facilities management principles and best practices
  • Excellent interpersonal and communication skills
  • Proven ability to build and maintain client relationships
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office suite and facilities management software

Preferred Qualifications:

  • Professional certification in Facilities Management (e.g., CFM, FMP)
  • Experience working with financial institutions or in highly regulated environments
  • Knowledge of German building codes and regulations
  • Familiarity with sustainability and energy management practices
