Role purpose

The primary purpose of the Assistant Operations Manager is to support the Operations Manager – Infrastructure & Integration with the operational management interfaces for property development and major projects. Activity is focused on achieving best in class outcomes for customer experience, building integration, operation & reliability, safety in design, sustainability and compliance against all Vicinity standards. A core focus of this role is to assist with the construction documentation reviews, actively engage in pre-construction and operational meetings including forums with a view to provide feedback that will achieve outcomes articulated above.

This position is responsible for the execution of exceptional retailer and customer experiences when interfacing development projects with live centre operations during construction.

ESSENTIAL EXPERIENCE (what you have done)

  • You will be an ambitious manager with a track record of achieving superior outcomes through a well-planned and innovative approach
  • You will have experience of at least three years in a role in a relevant field.
  • You will have experience working in a large team with multiple departments.
  • Preferably have experience with leading a small team and can demonstrate leadership qualities.
  • Experience in the health and safety discipline is preferred and you will be unwavering in your approach to deliver a safe and healthy environment, never being afraid to take decisive action to achieve this outcome
  • You will have a solid understanding of relevant acts, legislation and standards
  • Experience in a role in the operations field that includes the management of retail and mixed-use assets and overall responsibility for an outgoings budget.
  • Demonstrate an ability to deliver a schedule of projects on time and budget.
  • Maintain a risk register and appropriate documentation in readiness for H&SE audits.
  • Exposure to all emergency Management control equipment on site including but not limited to EWIS, FIP, extinguishers, etc…

CRITICAL KNOWLEDGE (what you need to know)

  • Understanding of contractor management through the issue of permits and general compliance.
  • Create and maintain positive relationships with internal and external key stakeholders (including contractors, emergency services, local council and internal staff) that impact performance.
  • Solid understanding of the centre operating building services (E.g. HVAC, fire, vertical transport, electrical & hydraulics, etc..).
  • Completion of administrative duties as required including a strong understanding of business operating systems such as Microsoft office suite.
  • Manage preliminary budgets in line with set monthly targets and the ability to forecast future spend.
  • Critical understanding of customer service and the importance of brand reputation.

CAPABILITIES(what you can do)

DEVELOPMENT (≈90%)

  • Issuing operational and standards documentation to the development project lead and verifying it is incorporated into development design and construction documents.
  • Assist with reviewing relevant documentation sets and make recommendations to deliver best in class outcomes in line with the Chadstone business strategy and project goals.
  • Attend operational project interface meetings. Regular site walks to conduct daily safety audit inspections and identify public interface risks.
  • Provide support for the ‘Operations Manager – Infrastructure & Integration’ and subject matter experts with a view to exceed industry best practice for all health, safety, risk and security components.
  • Ensure that project interfaces with active centre operations are executed to the highest possible standard every day for retailers, customers, and staff. This position will have a strong focus on customer and retailer experience and safety in operational areas.
  • During construction periods, plan and liaise with the marketing, retail, guest experience and operations teams as required and perform the role of local resident and tenant liaison.
  • Assist with the review and acceptance of operational handover documentation. Support the administration of the document repository to ensure all documentation can be easily accessed for operational, compliance and maintenance purposes.
  • Closely monitor, manage and communicate upcoming scheduled works with centre management, retailers and other relevant stakeholders based on works notifications from builder.
  • Provide support for the ‘Operations Manager – Infrastructure & Integration’ on the defects and project close out process post project completion.
  • Present the building to the highest possible standard.
  • Primary conduit to respond to retailer enquiries or complaints relating to development or telco and is the key relationship contact for the retail management team.
  • Create and maintain positive relationships with internal and external key stakeholders (including contractors, emergency services, local council and internal staff) that impact the performance of your department.
  • Ensure the shopping centre is compliant with Legislative obligations, Australian Standards and Vicinity procedures.
  • Make a valued contribution to the implementation of Environment Social and Governance initiatives at your centre/s by identifying opportunities for energy conservation and sustainability improvements, aiming to achieve energy and resource reduction targets set.
  • Assist with the regulator when HS&E issues arise and escalate through the business appropriately.

SERVICES (≈10%)

  • Work closely with the core operations team to have a solid understanding of the centre services (E.g. HVAC, fire, vertical transport, electrical & hydraulics, etc..) to identify how the development impacts existing infrastructure.
  • Lead the telco engagement process (NBN, fibre, etc..) and implementation for both existing and development related works. 
  • Where Development duties are not a focus this position will include general Operations duties. Position not limited to Development focus only.

It is acknowledged that due to the nature of the position and the industry in which Vicinity Centres operate, there is a requirement to work outside of normal business hours. Tasks include but are not limited to, performing the role of Duty Manager on a rotating roster, checking contractor work & compliance after-hours and completing audits or assessments.

These activities will change from time to time in line with activities expected of an operational team member in a commercial and retail environment.
