Events Advisor (FTC) - The role:

The successful candidate will join a team of Event Managers.  The role of the Events Advisor is an important role within the firms’ Events team, working with the BD team to ensure everything we do is aligned to the firmwide and BDM strategy and maximising business development opportunities when planning events.

The role is to support the practice, sector groups and senior management in the creation, planning, management, execution and delivery of medium and large in-person, hybrid and virtual online client and internal events. Working as part of a team, you will manage, execute logistics and provide technical support for online virtual or hybrid (virtual/in-person) international events.

Responsibilities will include:

  • The flawless execution of client and employee in-person, hybrid and virtual events. Our events require 100% accuracy and great attention to detail.
  • Managing delivery of seminars, roundtables and webinars, networking events, dinners, receptions, meetings, etc., including pre-event planning, on the day management and post-event management. 
  • Management of conference groups both regional away days and global offsites for mid to large sized groups of delegates (50-300 delegates) including teambuilding activities, gala dinners, the conference plenary and peripheral meetings.
  • Delivery of firm wide events that strengthen the firm’s culture, support its business objectives and enhance communication within practice areas and groups of partners and lawyers.
  • To introduce innovative new ideas to support the firm’s strategic aims through event management.
  • To research and monitor the events market and new venues to ensure Linklaters events are market leading.
  • Managing external suppliers.
  • Negotiating costs for individual events, ensure value for money vs. creative solutions.
  • To ensure that all events are properly budgeted and approved.
  • To track cost savings, manage debriefs to determine return on investment/objectives.
  • To develop event planning best practices to share with the wider BDM team.
  • Assist regional BDM teams as necessary with key events in order to maintain and improve their quality and impact.

Events Advisor (FTC) - What we're looking for:

This role is ideal for a highly organised team player, with an ability to lead by example and to work independently on assigned projects.  The person in this role must be proactive, flexible and accountable in all aspects of the role. You must be able to interact with all levels across the firm.

We would expect successful candidates to have the following skills and experience:

  • Significant experience managing mid to large events and associated budgets.
  • Virtual event management experience and ability to pick up new technology to support online events.  Experience using webinar platforms (e.g. Zoom or equivalent), event registration software (e.g. Cvent, Eventogy), digital event platforms is preferred. Experience using meetings platform (e.g. Webex, Teams or equivalent). Ability to pick up new platforms essential to support online events.
  • Proven ability running events through the entire event life-cycle—both live and digital. Troubleshooting experience.
  • Working knowledge of health and safety guidelines and practices for in person events.
  • Experience in working on global events or in a global organisation (preferably) or working with global organisations if from an Events agency
  • To think strategically and challenge RIO when asked to arrange an event.
  • Be very organised, approachable and with a high attention to detail. Able to communicate with internal clients and colleagues in a calm, professional and friendly manner.
  • Be a strong team player. Have excellent contracting skills – the ability to understand and negotiate the best terms and conditions in supplier contracts.
  • Be highly computer literate with a proven ability to pick up and use new systems or software, including experience of Microsoft Office software.
  • Previous experience using webinar technology or email marketing platforms would be advantageous. Able to gain trust and build relationships quickly. 
  • Able to interact professionally and credibly with senior internal stakeholders.
  • Able to manage conflicting requests or concurrent multiple projects, and cope with a steady stream of work.

The role is London based, with a hybrid working model and occasional travel to overseas offices or other countries to support events as required.
