General Description:
The Associate Event Coordination Manager plays a crucial role in executing commercial activities through events, contributing to the overall growth and development of the company. This role ensures the smooth and high-quality implementation of events planned by headquarters in compliance with laws, internal regulations, and brand strategies. Responsibilities include collaborating with internal departments and external vendors, managing event operations, coordinating marketing requirements, overseeing budget management, and implementing improvements
Responsibilities:
• Responsible for the practical implementation of various events planned and designed by headquarters (such as national seminars, regional seminars, co-hosted conferences, webinars, etc.) in a smooth and high-quality manner, in accordance with laws, internal regulations, and brand strategies. Act as the coordination point between internal departments and external venders, leading the overall progress, ordering, and management of event operations. Specifically, the responsibilities include the following:
• Event Management Overview
• Coordinate operational requirements from marketing event owners, manage vendor relationships, and ensure effective event execution.
• Oversee venue selection, equipment specs, and establish operational plans for the event day.
• Manage production of promotional materials (invitations, distribution materials, signage, etc.) and support on-site operations, including troubleshooting.
• Purchasing and Contract Management
• Handle estimates, orders, contracts, and payment processing efficiently.
• Use procurement systems like SAP/Ariba for expenditure management and ensure vendor cost.
• Reporting and Improvement
• Direct post-event reporting and vendor evaluations, identifying areas for improvement and ensuring compliance with event documentation and regulations.
Qualification Required:
Education Required:
Bachelor’s degree or above, medical or related majors preferred
Qualification:
Must Requirements
• 5-8 years of experience in event management in the pharmaceutical or healthcare industry (e.g., lectures, symposiums, conferences)
• Practical experience in vendor management, purchasing, and contract processing
• Strong communication skills for effective interaction with internal and external stakeholders
• Ability to manage multiple projects simultaneously (multitasking skills)
• Understanding of pharmaceutical promotion codes, fair competition regulations, and data protection regulations
• Strong project management skills, able to promote cross-departmental cooperation and lead performance projects to achieve results
• Ability to handle emails and documents in English (when collaborating with vendors and internal global teams)
Preferred Requirements
• Sales experience in an oncology related field
• Experience using procurement systems such as SAP/Ariba
• Experience in hosting webinars (e.g., Zoom, Teams, ON24)
