Pay: $21 / hour and up to $2500 in our Summer Madness Program!
 

Work Hours: Monday-Friday 7am-4pm

What to Expect?

The office manager position is responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings.
 

On a daily basis our Office Manager:

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.

  • Supervises and coordinates overall administrative activities for the Office Administration Department.

  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

  • Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.

  • Supervises the maintenance of office equipment, including copier, fax machine, etc.

  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)

  • Accurately posts all payments to customer accounts on a daily basis.

  • Generates and balances cash receipt journals, cash sales register and bank deposits and faxes daily transmittal sheets to Covington daily.

  • Prepares daily cash deposits and completes cash control sheet daily. Makes bank deposits daily.

  • Enters finalized cash receipts and updates accounts receivable ledger by customer.

  • Ensures all invoices are generated to customers on a daily basis.

  • Obtains and mails invoice copies for customers, as requested.

  • Processes daily credit card deposits.

  • Makes and maintains copies of all deposits, checks and remittance advices in branch files.

  • Answers accounts receivable telephone inquiries and follow up.

  • Calls and/or mails correspondence to customers as necessary to update accounts.

  • Participates as needed in special department projects.

What You Will Need:

  • Ability to speak effectively before customers and employees of organization.

  • Ability to calculate figures and amounts such as discounts, interest, percentages.

  • Strong computer skills including use of MS Office programs.
