Job Description Summary

In this role, you will be responsible for executing on multiple HR processes and supporting the HR team across all HR service categories including maternity, paternity and other leaves, reporting, metrics and more. Develop an in-depth, wing-to-wing knowledge of company HR operations systems & processes. This role requires emphasis on data integrity and analysis to support key HR decisions while providing coverage and support as needed. Identify and resolve operational issues and support process improvement. Promote “Best in Class” service while developing effective relationships and working cross functionally with internal teams and suppliers.

Job Description

Responsibilities

HR Partnership (20%)

  • Develop a strong working relationship with the GEV HR community through proactive facilitation & improvement of the family leave process and policy, ensuring effective communication and early identification of requirements & any service issues
  • Working with all business and the UK Simplification Council to suggest any changes to process or policy
  • Produce metrics per business on current state for all family leaves, provide data to the business account managers to share with the business.

HR Administration (35%)

  • Be the Single Point of Contact (SPOC) for all employees on maternity, owning all communications with the employee throughout their leave from start to finish
  • Cover in full all maternity and paternity leaves. This includes monthly checks of payroll data to ensure it is in line with the employee expectations
  • Own the regular contact with the employee during their leave, liaising with people leaders when appropriate to aid the return-to-work process
  • Ensuring the employees are paid correctly when they return from leave up to and including regular payroll checks after they have retuned
  • Move shared parental leave to the center to give holistic view of all family leaves
  • Comprehensive knowledge of the maternity policy
  • Processing of employee salary increases, bonuses, awards, allowances & deductions whist on leave
  • Take appropriate payroll action to ensure high payroll standards; Basic knowledge on payroll: how to create maternity schedule, calculations, date change implication
  • Deal with all employee enquiries in a professional, courteous & timely manner
  • Consistently follow defined HR processes, challenging steps that may not make sense / add value
  • Maintain employee documentation (personnel files/ labor contracts, additional agreements) in accordance with local labor legislation & Data Privacy regulations; Provide and maintain documentation of maternity leave
  • Maintaining HR WD database, ensuring highest standards of completeness, accuracy and compliance with relevant legislation
  • Manage HR document circulation in an appropriate and controlled manner
  • Coordination of employee benefits, including company cars & GEV share plan if applicable
  • Ensure that high standards of accuracy and quality are maintained with appropriate controls in place, taking accountability for compliance with relevant legal and GE policy requirements.

Refinement of Assigned Process & Provision of Process Expertise (15%)

  • Drive HR expertise for the family friendly leave processes; maternity, shared parental leave and additional parental leave processes through knowledge sharing and training
  • Proactively seek customer feedback to identify areas for process improvement, standardization and productivity; enhancement and simplification on the end-to-end process
  • Advise on complex questions/requests from the HR community concerning the area of expertise in a professional, courteous & timely manner
  • Build and share knowledge by continuously keeping up to date with internal and external changes

Oversight of Service Delivery for Assigned Process (30%)

  • Ensure that high standards of accuracy and quality are maintained with appropriate controls in place, taking accountability for compliance with relevant legal and GEV policy requirements
  • Running regular audits of payroll data vs maternity schedules, looking for any potential errors in payroll before they occur
  • Using VOC, investigate the process and policy and challenge it. Look for opportunities to make the process more lean and easier for the employee to understand
  • Lead any changes suggested, get buy in and support from the Simplification Council and roll out changes in the process

Skills & Expertise

  • Confidence with the UK maternity, paternity processes
  • Experience of a HR or Operations process ownership role in a fast-paced, customer-oriented environment
  • Process mind-set, understanding of core HR operational processes
  • Decisiveness, self-motivation and ability to work with minimal supervision
  • Experience of driving strong performance from third-party suppliers & remote teams
  • Ability to prioritize multiple tasks & work to deadlines
  • Comfortable delivering against quantitative and qualitative performance metrics
  • Experience of analyzing and improving operational processes in a matrix organization
  • Proven ability to work professionally & proactively with a remote client base
  • Fluency in English, with polite, professional communication skills
