Job Description:

PURPOSE AND SCOPE  

 

This position is responsible for providing general clerical and administrative support for assigned facilities, employees, and managerial personnel. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Note, some of these duties may be assigned to other personnel in some circumstances. 

 

Assisting in Accounts Payable Duties 

  • Extract electronic invoices from e-mail and prepare for processing 

  • Prepare paper invoices for processing in TAP 

  • Assist in management of Purchasing Card process. 

  • Source, procure, and maintain the appropriate inventory levels of office, print and shop supplies. 
     

General Clerical and Reception Duties 

  • Greeting visitors and be initial contact to the Arbon facility 

  • Receive and distribute incoming mail and process outgoing mail. 

  • Field outside calls and redirect to appropriate personnel 

  • Organize, set up and order lunches, dinners and hotel reservation for departmental gatherings. 

  • Organize and manage the lift rental operations 

  • Assist in the set up and maintenance of new office space 

  • Scheduling/escorting/orientating vendors (cleaning services, fire inspections, equipment maintenance, vehicle registration, etc)Special projects as needed to Vendor Management 

  • Routine office tasks as needed 

  • Light housekeeping duties / keeping the common areas tidy and ready to use and presentable for guests 

 

Vendor Management 

  • New vendor set up 

  • Tax certificates 

  • Certification of Insurances 

  • W-9  

  • Contractor qualification reports 

 

Sales Support 

  • Assist District Sales Manager with projects on an as needed basis 

  • Assist sales representatives on an as needed basis 

 

Other duties of a clerical or administrative nature as assigned. 

EDUCATION and/or EXPERIENCE  

  • This position requires a high school diploma or GED. 

  • Previous office administrative or receptionist experience is preferred. 

 

KNOWLEDGE / SKILL REQUIREMENTS: 

 

The ideal candidate will demonstrate: 

Must be proficient using Microsoft Office suite 
Must be proficient using Windows and network file structures 

Must be proficient in using a multiline phone system 

Strong verbal and written communication skills required 

 

SUPERVISORY RESPONSIBILITIES: 

 

This role will not have supervisory responsibilities
