Senior Executive, Fixed Asset, NTU Shared Service – Finance
This position reports to the Manager and is responsible for supporting the University’s fixed asset accounting function to ensure accurate, timely, and compliant financial operations. The role provides operational support in processing asset transactions, maintaining asset records, and meeting reporting requirements in accordance with accounting standards, policies, and internal controls. The incumbent will work closely with Schools, Departments, and Centres to address asset-related matters and will contribute to process improvements, system enhancements, and automation initiatives to strengthen the efficiency and effectiveness of financial operations across the University.
Job Responsibilities:
Monthly Asset Accounting and Financial Operations
Ensure completeness, accuracy, and timeliness of fixed asset records in SAP and related systems.
Perform end-to-end fixed asset accounting, including asset creation, capitalisation, transfers, disposals, write-offs, and reclassifications.
Review and approve asset-related Purchase Requisitions (PRs) in the procurement system and create/assign asset numbers accordingly.
Monitor and follow up on the timely settlement and capitalisation of Assets Under Construction (AUC), including long-outstanding projects.
Review and process asset disposal and transfer forms submitted via the Asset Management System.
Process fixed asset requests via ServiceNow, including updates to master data, custodian and location codes, asset-on-loan records, and creation of donated asset records based on information from Schools, Departments, and Centres.
Prepare and post journal entries for asset-related transactions, including funding source changes, asset class corrections, and other adjustments.
Execute monthly depreciation runs and perform fixed assets sub-ledger closing activities, ensuring proper reconciliation with the General Ledger.
Maintain accurate Deferred Capital Grant (DCG) classifications and perform month-end DCG reconciliation and amortisation checks.
Reconcile fixed asset sub-ledger to the General Ledger and investigate/resolve discrepancies in a timely manner.
Conduct periodic asset-related control reviews to ensure completeness and accuracy of records, including rectification of wrongly expensed items and timely resolution of GR/IR balances relating to capital expenditures.
Year-end Closing & Reporting
Prepare periodic management and statutory reports, including asset statistics, facilities & equipment schedules, insurance declarations, and survey submissions.
Coordinate the annual fixed asset physical verification exercise, including ensuring completeness and follow-up on discrepancies.
Prepare audit schedules and supporting documentation, and respond to internal and external audit queries in a timely manner.
Ensure compliance with university policies, financial guidelines, accounting standards, and internal control requirements.
Service Delivery & Continuous Improvement
Provide timely and professional support for asset-related queries from SDCs.
Maintain and update Standard Operating Procedures (SOPs) and ServiceNow Knowledge Articles.
Identify and recommend process improvements, including automation and system enhancements.
Support User Acceptance Testing (UAT) and implementation of system enhancements or automation initiatives (e.g., RPA).
Participate in finance-related initiatives and undertake ad hoc assignments as assigned.
Stakeholder & Relationship Management
Engage effectively with internal stakeholders to resolve asset-related matters in a timely and professional manner.
Build and maintain collaborative working relationships with peers, supervisors, Finance Business Partners (FBPs), and support teams.
Demonstrate accountability and reliability in meeting deadlines, service standards, and operational objectives.
Requirements:
Degree or Diploma in Accountancy, Finance, or related discipline, with 3–4 years of relevant accounting or finance experience.
Hands-on experience in fixed asset accounting or finance operations; experience in Fixed Assets management and/or a shared services environment is a plus.
Familiarity with SAP Financial Systems and/or SAP Ariba is desirable.
Proficient in Microsoft Office, especially advanced Excel; exposure to automation tools (e.g., RPA, macros, Power Query) is an advantage.

Strong team player with good communication and interpersonal skills.
Able to work independently, manage priorities, and meet deadlines in a dynamic environment.
