Job Description:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Adheres to the department policy, time, and attendance guidelines.
- Wears employee ID badge and follows dress code policy.
- Greets and directs patients and visitors following HIPAA and company policies. Updates patient information and forms as required. Inputs information for new and established patients. Assists patients with completion of medical history and information forms as needed.
- Processes incoming calls, answers incoming calls timely, schedules appointments accurately, assists patients with questions and concerns. Routes calls to appropriate extensions or staff and takes messages when necessary.
- Checks out patients timely and provides them with all necessary paperwork, including schedules, and instructions.
- Collects payments as required and directs patients to Accounts Receivable Department or Site Coordinator in satellite offices for payment or insurance issues/changes. Inputs collections notes and payments needed from Dailies into Practice Management system.
- Prepares daily deposit and appropriate paperwork for the Supervisor. Distributes deposit information to appropriate departments. Staff are required to take bank deposits to the bank on weekends, or if a supervisor is unavailable.
- Assists in maintaining appropriate office schedule. Schedules accurately and safely for all patients and staff, including nurses and physicians. Utilize strong documentation for canceled and current appointments.
- Rotates working weekends as scheduled.
- Attends staff meetings.
- Handles high level of stress and remains flexible with day-to-day changes.
- Completes any additional assigned duties from a daily checklist and submits to Coordinator by shift end.
- In satellite offices, the Registrar also scans medical records, manages inbound faxes, categorizes them into correct patient’s EMR, and routes to appropriate provider.
QUALIFICATIONS:
Education: High School graduate or equivalent.
Experience: Prefer three (3) years medical experience.
KNOWLEDGE:
- Knowledge of medical terminology.
- Knowledge of practice policies and procedures related to the front office.
- Knowledge of how to use office equipment including telephone and computer.
- Knowledge of customer service concepts and techniques.
SKILLS:
- Skill in using calculator.
- Skill in managing multiple tasks simultaneously.
- Skill in written and verbal communication.
ABILITIES:
- Ability to communicate clearly in person and on the telephone.
- Ability to establish and maintain cooperative relationships with patients, physicians, staff, and the public.
- Ability to organize ad prioritize tasks effectively.
- Ability to read, understand, and follow oral and written instructions.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to remain calm while working under pressures.
- Ability to maintain confidentiality of sensitive information.

- While performing the duties of this job, the noise level in the work environment is usually moderate as experience in a medical setting /practice.
