Job Description

This position assists Bay Adelaide Centre’s property management team in achieving property and operational objectives.  The role is also responsible for establishing and achieving excellent tenant relations at Bay Adelaide Centre’s office-retail complex, driving the organizational culture that fosters open communication and coordinate efforts towards achieving common goals.  The focus and objective of this position is to ensure and fulfill tenant requirements and increase tenant satisfaction.   


RESPONSIBILITIES:

  • Ensure office and retail tenant needs are being met and liaise with all department heads to ensure all tenant and landlord concerns are being addressed, including accounting, moves, events, installations, workorders and operational concerns.
  • Assist with various aspects of tenant move-in/move-out procedures and ensure that all departments meet their responsibilities.
  • Assist with creation and execution of content for axiis tenant app, including events, promotions and publicizing tenant programs.
  • Responsible for the organization and management of external events and internal events.
  • Prepare tenant correspondence as needed and respond personally to tenant inquiries; follow-up to ensure tenant satisfaction.
  • Assist with the management of the lease administration process, ensuring all property specific deals are entered into on a timely basis, (storage tracking / agreements, retail tracking and statement of accounts, etc.).
  • Responsible for the day-to-day accounting concerns and inquiries from tenants.
  • Review invoices and accounts receivable monthly and communicate with management as necessary.
  • Responsible for the management of outstanding tenant accounts, prebills and yearly adjustments.
  • Coordinate to ensure all departmental procedures and policies are implemented (i.e. ensure the tenant handbook and associated manuals are up to date).
  • Assist with the waste program within tenant premises and work with tenants to comply with the program.
  • Miscellaneous duties as assigned by the Tenant Services Manager.

QUALIFICATIONS

SERVICE / PERSONAL SKILLS: 

The ideal candidate for this position will have a strong service orientation and will be confident, friendly and courteous. A professional image with excellent interpersonal and communication (written/oral) skills is required.  The candidate is self-motivated, a strong problem solver and able to work effectively under pressure as well as independently and in a team environment.  Adaptability, strong organizational skills and an eye for detail and accuracy are critical to being successful in this position.

EXPERIENCE & TECHINCAL SKILLS:

  • 3-5 years of experience in property management, specifically in retail and tenant relations.
  • Supervisory experience is an asset.
  • Advanced level skills in Microsoft Suite applications; Teams, MS Word, Excel, PowerPoint and Outlook.
  • Experience working with MRI Angus and Yardi is preferred.
     

EDUCATION/DESIGNATIONS/LICENSES:

  • Completion of post-secondary education or equivalent work experience.
