A Brief Overview
The Project Coordinator provides coordination for projects under the purview of a WMG department. This role is responsible for collaborating with leaders and project stakeholders to oversee organization and creation of project infrastructure, and the smooth and efficient execution of project tasks according to the project plan. This position is specifically responsible for the completion of administrative and operational project tasks. These include facilitating or participation in applicable project meetings, preparing and presenting project information, budgeting, GEMBA observations, development of data management and technology options/solutions, basic data analytics, recording and maintenance of workflows, organizing playbooks/toolkits for program processes, track training for WMG employees, and program event management. It also involves communication, written and verbal, to all stakeholders, System and WMG Executive Leaders, and WMG practices.
What you will do
- Project Coordination
- Responsible for assuring that all assigned projects are coordinated and completed according to plan. This includes the overall approach, goal, structure, progress, and resolution of project activities.
- Participate in project design meetings
- Coordinate and facilitate project meetings, timeline and other activities needed to meet project goals
- Evaluate potential operational and/or technical problems and develop solutions
- Development and maintenance of project documents, including project plans and timelines, toolkits, workflows, reports/spreadsheets, etc. to support organization and/or operationalization of the project
- Prepare presentations and executive summaries to outline and communicate project goals, progress, potential barriers etc.
- Oversee project budget and supply management
- Serves as liaison with other areas, such as marketing/communication, finance, etc. as it relates to resource needs for projects
- Plan and organize project-related conferences, events, celebrations, and staff training
- Data Management and Reporting
- Structure data and information for dashboard development and maintenance
- Analyze data, as required, for tracking, trending, and reporting of project Key Performance Indicators (KPIs)
- Communication, Collaboration and Customer Service
- Always presents self in a positive and professional manner and works collaboratively to achieve project goals and success; Escalates issues to senior leadership, as needed
- Cultivates a relationship of mutual respect and trust with leadership, providers, and staff
- Ability to effectively motivate and guide stakeholders through the project
- Coordination of resources/stakeholders tasks and internal/external relations concerning project details and deliverables
- Adheres, supports, and embodies Wellstar’s Customer Service Commitment to Excellence
- Handle formal Communication Plan of projects and feedback loop across appropriate entities
- Maintains confidentiality when dealing with sensitive documents and communications
Qualifications
- Minimum 5 years administrative or office related experience, preferably in healthcare, with varied and progressively responsible duties that include project coordination in a large company, healthcare system, or large physician practice Required
