Role Purpose:


The Office & Property Associate will support the effective operation of building services and security systems, ensuring compliance with maintenance schedules and service standards. This role involves coordinating with contractors, maintaining accurate records, answering client calls, and providing timely reporting to the manager.

Key Responsibilities:

  • Conduct regular office audits and report findings to the manager.

  • Maintain up-to-date records of Planned Preventive Maintenance (PPMs), invoices, and meeting minutes.

  • Ensure scheduled maintenance and service response tasks are completed on time.

  • Liaise with staff and contractors/service providers to resolve issues promptly.

  • Respond appropriately to requests and complaints from staff and escalate complex problems when necessary.

  • Suggest improvements to eliminate recurring issues related to facilities, and equipment.

  • Answer client phone calls and direct them to the appropriate person or department.

  • Provide support during emergency incidents and participate actively in team tasks.

Specific Skills & Qualifications:

  • Relevant tertiary qualifications.

  • Sound knowledge of services, contractors, and providers to maintain daily operational standards.

  • Ability to manage multiple demands effectively.

  • 0–2 years of experience in facilities administration preferred.

Communication & Interpersonal Skills:

  • Communicates calmly and responsively with staff, clients, and visitors at all levels.

  • Uses tact and discretion when dealing with sensitive matters.

Planning & Organizing:

  • Ensures all scheduled maintenance activities occur as planned.

  • Completes routine tasks related to service response efficiently.

Analysis & Problem Solving:

  • Interprets and prioritizes requests and complaints.

  • Refers complex issues to appropriate stakeholders.

  • Identifies and suggests solutions for recurring problems.

Service Delivery:

  • Reports delays in resolving service issues promptly.

  • Maintains high standards of customer service and operational support.

Teamwork:

  • Collaborates effectively with team members to achieve departmental goals.
