The Opportunity

This role will be mainly responsible for managing the whole facilities and working spaces in both MIMJ and MLJ Investments offices, where we share the meeting rooms and reception areas as well as other facilities

People Leader Role: No

Responsibilities:

Facilities Management

  •  Overseeing safety protocols 
  • Managing and updating fire prevention and disaster plans
  • Facility management. Daily correspondence and coordination with MLJ facility management team, Marunouchi building management office as well as a variety of suppliers.

General Affairs Support

  • Running general affairs tasks such as ordering/managing office supplies and IT devices. Supplier and visitor receptions including Manulife guests. Take in-coming calls. 
  • Working with IT Helpdesk staff
  • Assisting Office Manager, Business Administrator and MLJ Investments staff with office events
  • Other Ad-hoc tasks

Job Requirements:

  • Minimum 3 years of experience in an administrative role, preferably at global firms.
  • A high level of organizational and multitasking abilities
  • Effective communication skills, capable of interacting with a diverse range of individuals in a professional manner
  • Proficiency in English is desirable, with the ability to handle basic email correspondence in English.



Internal Guidelines about Work from Home:

Hybrid Model, following Manulife’s Working Better guidelines.

Over time:

0-40 hours/month.

Salary:

Based on our Work Rules, we will consider your experience, skills and knowledge when we decide the salary.

Commutation allowance and Variable Incentive Bonus are paid based on our Work Rules.

Working Hours:

Standard Working Hours: 9:00am - 5:00pm  (Include 1 hour break. Flex-time system available)
