The Corporate Office Coordinator is responsible for overall front desk activities including management of the reception area and meeting areas, customer service, phones, mail, and general office supplies. This position is responsible for training and scheduling front office back up coverage, and assists on projects and any additional administrative support necessary for the organization.

ESSENTIAL DUTIES & RESPONSIBILITIES: 

  • Maintain effective working relationships with company employees, suppliers, and customers. Promote and maintain the professional image and reputation of the company and ensure timely problem resolution and customer satisfaction.
  • Provide exceptional customer service in person and on the phone to employees, customers, families, staff, vendors and the community: greeting guests, observing front door/guest protocols, and Security procedures, etc.
  • Oversee the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Assist customers, clients, guests and employees by coordinating direction to the appropriate divisions or departments of the company Provide information and assistance to clients, guests, and employees.
  • Manage the reception area, always ensuring it’s tidy and presentable. Maintain a professional and organized front desk environment.
  • Handle and distribute incoming and outgoing mail, packages, and deliveries. Manage mail room status and postage equipment.
  • Coordinate overall activities for the front office, including training, scheduling and supervision of front desk volunteers and staff coverage.
  • Maintain Front Office Manual, including security procedures, employe contacts, forms, manuals and charts as necessary.
  • Answer and direct incoming phone calls to the appropriate departments.
  • Assist in the coordination and scheduling of phone recording needs and seasonal script changes.
  • Assist with basic administrative tasks such as data entry, scanning and digital filing.
  • Oversee office supplies: organizing, maintaining and communicating needs
  • Maintains common workspaces, conference rooms and employee break/lunch space throughout the day; including meeting space set up and clean up for meetings and groups.
  • Other duties as assigned.
