Position Overview 

We are seeking an experienced professional Team Assistant and Office Coordinator who enjoys a varied role to join our Dublin office. This person needs to provide effective and efficient support to the Chief Executive Officer (NBAMIL) and the Dublin Team. They will need to be a strong team player with exceptional interpersonal, communication and organisational skills and have the ability to demonstrate initiative and anticipating the needs of the office.

Primary Responsibilities:

  • Face of the office; ownership for the needs of the office; coordinating arrangements for guests, visiting Directors & clients.
  • Provide specific administrative support to the CEO (NBAMIL) and Dublin Team which include: Diary management, organising internal and external meetings, scheduling zoom calls and coordinating any travel requirements. Managing expenses through our Concur system.
  • Liaising with appropriate internal teams to manage events including client and/or employee engagement events.
  • Local point of contact for Landlord and suppliers; arranging supplies, coordinating deliveries, office improvements/repairs and health & safety requirements.
  • Point of contact for external Company Secretarial function; follow up on materials, minutes, agendas for Board & Committee meetings.    
  • Preparation of standard presentation materials or customization of existing materials.
  • Process invoices and coordinate payment with the Finance team.
  • Adhoc administrative support as required.

Key Requirements / Qualifications (essential unless stated):

  • Flexible approach with a “can-do” attitude
  • 5 years + experience; experience from financial services organisations preferred
  • Strong Microsoft Excel, PowerPoint, Word, Outlook skills
  • Excellent verbal and written communication skills
  • Enthusiastic, professional, discreet and trustworthy
  • Strong attention to detail essential
