Scope of the Position

The Background Verification Specialist is responsible for conducting and managing end‑to‑end background checks for new hires and internal movements. The role ensures candidate information is verified in accordance with company policies, compliance standards, and regulatory requirements. This position requires strong coordination skills, high documentation accuracy, and the ability to handle sensitive information with integrity.

Key Accountabilities

Background Verification Activities

  • Perform and validate background check status for vendor/contractor personnel as per internal and client guidelines.
  • Clear resource orders in FG to enable candidate onboarding.
  • Conduct background verification for all New Hire, Re‑hire, and Transition cases as per the defined process.
  • Make decisions based on internal policy when handling exceptions, vendor cases, or location‑specific requirements.
  • Track pending requests and follow up with stakeholders (GSP – Fieldglass team) to obtain relevant BGV Order IDs and ensure timely closure.

Stakeholder Communication

  • Communicate verification status, red flags, and required escalations to stakeholders in a timely and clear manner.

Compliance

  • Ensure all background verification processes align with company policies and legal standards.
  • Execute BGV clearance for eligible cases and validate the latest BGV status for Re‑Hire candidates.

Reporting & Escalation

  • Highlight discrepancies or adverse findings to Management and GSP.
  • Maintain accuracy and quality in all verification outputs.

Process Improvement

  • Identify opportunities to improve TAT, process quality, and vendor performance.

Leadership Skills Required

  • Ability to work independently while coordinating across multiple stakeholders.
  • Strong ownership of tasks with a structured and process‑driven approach.
  • Capable of managing high‑volume workloads with accuracy.
  • Effective collaboration and clear communication with teams and vendors.
  • Ability to work with service functions such as HR and Legal.
  • High integrity in handling confidential information.

Professional Expertise / Knowledge

  • Strong understanding of BGV processes and verification types.
  • Familiarity with BGV platforms such as First Advantage, HireRight, etc.
  • Awareness of data privacy rules, compliance norms, and documentation standards.
  • Good understanding of HR operations and onboarding processes.

Experience

  • 2–5 years of experience in background verification, HR operations, or compliance.
  • Experience in vendor coordination and case management preferred.
  • Exposure to SLA‑driven or high‑volume environments is an added advantage.

Skills

  • Proficiency in MS Excel and reporting.
  • Excellent written and verbal communication skills.
  • Strong attention to detail with analytical ability.
  • Ability to maintain confidentiality and manage sensitive data.
  • Good time‑management and follow‑up skills; ability to multitask.
  • Strong problem‑solving and decision‑making capabilities.
  • Proficiency in MS Office (Excel, Outlook, Word).

Education

  • Bachelor’s degree in any discipline (HR, Business Administration, or related fields preferred).

Reporting Requirements

  • Daily/weekly reporting of BGV status to HR Operations / BGV Lead.
  • Timely escalation of discrepancies, delays, or red flags.
  • Maintain accurate documentation for audits and compliance.

Matrix Mentoring / Support

  • Works closely with GCWF, HR, Talent Acquisition, Legal/Compliance, and Security teams.
  • Receives guidance and support from HR and Legal teams.

Matrix Team

  • GSO, GCWF, Legal/Compliance, HR, Talent Acquisition

Updates

  • Regular updates on policy changes, verification procedures, vendor performance, and compliance requirements.
  • Continuous learning and skill development through internal trainings and process refreshers.
