During this maternity cover, in this role of Team Assistant, you will support the PWS Team based in client office in Hong Kong in their daily tasks and contribute to PWS projects & Innovation activities. You will help the team with critical administrative tasks, samples management and other office related duties. You will coordinate meetings and arrange logistics for events (virtual, on/off site, in Hong Kong and Shanghai). You will also assist the team in Lausanne for any tasks related to the staff based in AP region (new hire, admin support, travel arrangements).

This role will report to the PWS Head of Events & Operations and is a full-time position based in Hong Kong (3 days per week in office).

  • Provide administrative support and assistance to the PWS Team:
  • Help the team with their daily administrative tasks (filing, invoicing, suppliers management)
  • Manage sample stock (orders, packing, shipping)
  • Support recruitment needs by organizing interviews and helping recruiting managers with related administrative tasks
  • Assist for any tasks related to the team based in Asia/Pacific region when needed (new hire, gifts, administrative support)
  • Provide basic executive support and assistance to the PWS Leadership Team:
  • Provide basic agenda & planning support for HK Site Leader
  • Manage travel coordination for AP Leadership members (flights, hotel bookings, transfers, visa etc)
  • Provide local assistance to PWS WW Management when travelling to AP offices (visa, travel arrangements etc) Help coordinate events & activities
  • Liaise with internal staff at all levels
  • Coordinate project-based work
  • Organize team activities (virtual and in person)
  • Arrange regular meetings, workshops and events (virtual and on/off site).
  • Coordinate logistics, evening dinners

Key Qualifications:

  • At least 3 years of experience in an international environment providing support at a high level
  • Successful experience in events management or in the hospitality industry
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite or Google Suite
  • Knowledge of standard office administrative practices and procedures.
  • Basic finance and accounting systems such as Oracle Ipro
  • Fluent in English, Cantonese and Mandarin, written and spoken, any other language is a plus
  • Solution oriented and proactive, able to take initiatives
  • Excellent interpersonal skills
  • Very good communication skills, capable of adapting communication style to the audience
  • Strong organizational & planning skills, attention to detail
  • Flexible, able to handle changes and pressure
  • Able to analyse problems and bring creative solutions
  • Reliable, trustworthy
