Global Product Organization Executive Assistant

We are looking for Executive Assistant who will act as the point of contact among executives, employees, clients and other external partners, manage information flow in a timely and accurate manner.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Responsibilities

  • Act as point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodations arrangements
  • Track expenses and prepare weekly, monthly and quarterly reports
  • Act as office manager by keep up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Project Support: Assist with special projects and initiatives, providing research, analysis, and administrative support as needed.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality.
  • Record retention
  • Meeting minutes preparation

Requirements

  • Proactive and self-motivated with a strong sense of initiative.
  • Detail-oriented and able to work under pressure.
  • Adaptable to changing priorities and environments.
  • Experience in a fast-paced corporate setting.
  • Education: Bachelor's degree in Business Administration, or a related field preferred. Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
  • Excellent MS Office knowledge
  • Excellent organizational and time management skills
  • Discretion and confidentiality
  • External verbal and written communication skills
  • Fluent English
