Job Description
We are seeking a dynamic and detail-oriented IT Governance Assistant Manager to lead and manage Group ICT Governance initiatives. The ideal candidate will be responsible for overseeing contract management, vendor management, and project value realization, ensuring compliance and governance within the organization.
Duties and Responsibilities:
Lead and Manage Group ICT Governance Initiatives inclusive but not limited to:
Group ICT Contract Management
Maintain a centralized and secure repository for all ICT contracts, ensuring easy access and retrieval.
Ensure the repository is updated regularly with new contracts, amendments, renewals, and terminations.
Maintain accurate records of contract versions, approvals, and relevant correspondence.
Monitor the lifecycle of each contract from initiation to expiration, ensuring key dates (renewals, expirations, reviews) are tracked.
Coordinate with relevant stakeholders to manage contract renewals and terminations.
Ensure all necessary actions are taken before contract expiration to avoid service disruptions or lapses in compliance.
Monitor and evaluate the performance of contracts to ensure that vendors meet their obligations and deliver value as expected.
Provide support and guidance on contract-related matters to ICT team members.
Oversee the novation of contracts, ensuring smooth transitions and compliance with company policies.
Integrate Group ICT Standard Service Level Agreements (SLAs) into all Group ICT contracts.
Group ICT Vendor Management:
Monitor vendor performance to ensure adherence to agreed-upon terms and SLAs.
Compile and analyze vendor performance data to prepare comprehensive performance reports for management.
Prepare and send vendor performance circular.
Keep comprehensive and up-to-date records of all vendor-related activities, including contracts, performance evaluations, compliance reports, and communications.
Participate in governance committees to provide insights and recommendations on vendor management strategies and performance.
Group ICT Project Value Realization
Responsible for checking if the expected benefits or return on investment (ROI) from completed ICT projects have been achieved. This involves comparing the actual results to the initial goals set during the project planning. They must prepare a detailed report for management that summarizes whether these promised benefits or ROI were realized.Foster and build strong relationships with technology partners, service providers, and leaders through effective networking and collaborative engagement.
Facilitate awareness and knowledge sharing among the Group ICT departments.
Ensure transparency and promote good governance.
Competencies & Core Skill Sets
Diploma or Degree in Business Administration, Finance, Information Technology (IT) or Computer Science or related field.
Data Analysis and Reporting:
Proficiency in analyzing data and able to prepare and present detailed performance reports.
Critical Thinking:
Strong problem-solving skills to address any issues and able to provide strategic recommendations based on data analysis and evaluation.
Attention to Detail:
High attention to detail and able to ensure accuracy and completeness in all documentation or reports.
Effective Communication:
Strong verbal and written communication skills to interact with stakeholders, vendors, and team members.
Ability to prepare and deliver clear and concise reports and performance circulars.
Project and Contract Lifecycle Management:
Experience in overseeing the full lifecycle of contracts and projects, from initiation to expiration and beyond.
Ability to coordinate renewals, terminations, and transitions smoothly.
Integrity and Confidentiality:
High level of integrity to handle sensitive information and maintain confidentiality.
