Job Description

Be a key contributor to expanding access to education through digital innovation as the Administrative Coordinator for Tarleton Online!

Works under the general supervision of the Associate Dean of Off-Campus Education and provides administrative support for Academic Affairs’ Fort Worth campus units: College of Education, College of Health Sciences, and Tarleton Online.

This full-time, in-office position is located on Tarleton’s Fort Worth campus. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate which may entail some evenings and weekends pending scheduled activities.

Requires the ability to work remotely at the University’s discretion.

Essential duties and responsibilities

Administrative Operations for Academic Affairs units:

  • Collaborates with other administrative units across all Tarleton campuses to maintain schedules and accounts.

  • Provide faculty and staff support as needed.

  • Makes recommendations for process improvements, administrative changes, or new initiatives to assist with daily operations of all support areas.

  • Develops, evaluates, and ensures adherence to the internal office and divisional procedures.

  • Manages maintaining files, records, office supplies, and equipment.

  • Responds to email and phone inquiries concerning the areas of direct support.

  • Serves as point of contact to coordinate conference room schedule specifically for direct support unit’s meetings.

  • Oversees the open work area on the second floor of the FW Building.

  • Evaluate contracts with third-party vendors and the Tarleton contract office for accuracy.

  • Submit payment requests for approval to the current contract portal (AggieBuy).

  • Coordinates travel logistics and prepares itineraries for direct supervisor and support unit’s faculty members.

  • Organizes meetings, seminars, and other special events and may provide on-site support.

  • Assists with events on the Tarleton Fort Worth off-campus instructional site.

  • Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor.

  • Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs.

  • Performs special analyses and project summaries.

  • Hires, trains, and supervises student workers.

Tarleton Online Support:

  • Maintains physical and digital files for all aspects of Tarleton Online.

  • Attends Tarleton Online meetings with all applicable stakeholders.

  • Oversees and updates the Tarleton Online website and forms.

  • Designs and publishes course catalog and flyers to share with potential Tarleton Online students.

  • Manages and maintains a list of prospective students, stakeholders, and email campaign targets.

  • Facilitates email campaigns, TargetX, and other marketing/promotional items.

  • Prepare reports

  • Investigate the use of Work Force credits for application to Professional Bachelor Degrees

  • Compile monthly enrollment data and evaluate with other TAMUS System schools

  • Audits Tarleton Online accounts and sub-accounts using the online accounting system (Canopy)

  • Maintains payment reports and submits payment requests for all faculty or community partners participating in Tarleton Online programs

  • Provides training for creating course tags in the online payment portal (Marketplace).

Minimum requirements:

Education — Bachelor's degree or equivalent combination of education and experience

Experience — Two years of related experience

Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications.

Effective verbal and written communication skills.

Strong interpersonal and organizational skills.
Ability to multitask and work cooperatively with others.

Ability to work with sensitive information and maintain confidentiality.

Salary

The target base annual salary is commensurate with experience with a target base salary range of $41,000 - $45,100 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
